About the Role

Alleviate Pain and Spine and Surgery Center of the Fox Valley are growing organizations committed to delivering exceptional, patient-centered care. With that growth comes real operational complexity — new staff, evolving systems, expanding processes, and a leadership team of high performers who need more execution capacity, not more responsibility on their plates.The Operations & Clinical Coordinator is the person who makes things happen. This role exists to own the tasks, processes, and follow-through that our clinical and operational leaders currently absorb on top of their core responsibilities. You will serve all three departments — clinical operations, business operations, and nursing/surgical services — as a single, shared resource who can move between environments, prioritize competing needs, and finish what you start.This is not a support role. It is an execution role. The right candidate sees a task and owns it end-to-end without being reminded.

What You Will Own

New Employee Orientation & Onboarding

Serve as the primary coordinator for all new hire onboarding — clinical, administrative, and surgical
Develop and maintain onboarding checklists, schedules, and orientation materials for each department
Coordinate Day 1 logistics: access credentials, equipment, introductions, compliance training, system logins
Conduct general orientation sessions (organizational culture, policies, workflows, key contacts) so that department leaders provide only role-specific clinical guidance
Track onboarding completion and flag open items to the appropriate supervisor
Reduce department leader time investment in onboarding from 1–2 days per hire to 2–4 focused hours
Coordinate and schedule 30, 60, 90-day check ins with appropriate leaders

Process Documentation & Improvement

Document existing workflows, SOPs, and operational processes that currently live only in people’s heads
Identify gaps, redundancies, and inefficiencies in daily operations and bring forward solutions
Maintain a comprehensive, up‑to‑date library of procedure manuals, reference documents, training materials, and policies, ensuring all content remains current and compliant across all areas.
Support implementation of new systems, software, and processes — coordinating training, adoption, and troubleshooting across departments

Day-to-Day Operational Support

Provide direct task-based support to the Manager of Clinical Operations, Business Supervisor, and Director of Nursing
Manage scheduling logistics, vendor coordination, supply-chain follow-ups, and other recurring operational tasks
Track open action items across departments and ensure nothing falls through the cracks
Prepare reports, summaries, and status updates for leadership as requested
Serve as a first line point of contact for staff questions that can be answered without escalating to a supervisor

Compliance & Credentialing Support

Maintain and track staff licensure, certifications, compliance and education training completion
Send proactive reminders and coordinate renewals before expiration
Support regulatory readiness — organize documentation, audit preparation materials, and inspection bindersCross-Departmental Communication
Bridge communication gaps between clinical operations, business operations, and surgical services
Relay decisions, updates, and directives clearly and in a timely manner
Attend operational meetings, capture action items, and follow up on assignments

What We Are Looking For

Required Qualifications

Associate’s or Bachelor’s degree in healthcare administration, nursing, business, or a related field — OR equivalent experience in a clinical or healthcare operations environment
Minimum 2 years of experience in a healthcare, surgical, or multi-department operational role
Demonstrated ability to manage multiple concurrent tasks and see each to completion without ongoing supervision
Proficiency with electronic health records (EHR), practice management software, and Microsoft Office / Google Workspace
Strong written and verbal communication skills — able to communicate clearly with clinical staff, administrative staff, and leadership

Preferred Qualifications

Healthcare or business operations background with exposure to clinical operations or quality improvement
Experience in ambulatory surgery, pain management, or spine care environments
Familiarity with HIPAA, OSHA, and accreditation standards (AAAHC, TJC)
Experience creating or improving operational SOPs, onboarding programs, or training materials

Detail orientation. You catch what others miss. Documentation, compliance tracking, and process execution are strengths, not chores.
Adaptability. You can context-switch between a clinical question, a vendor call, and a scheduling conflict in the same afternoon — and perform well in all three.
Discretion. You will handle sensitive patient, staff, and business information. Confidentiality is non-negotiable.
Team-first attitude. This role exists to make three high-performing leaders more effective. Success is measured by what they no longer have to carry.

What Success Looks Like

At 30 days: You have completed your own onboarding, shadowed all three departments, documented the top 10 recurring tasks you will own, and taken your first orientation off a leader’s plate.

At 90 days: New hire onboarding runs through you. You have a working SOP library started. Each of the three leaders has identified at least two recurring responsibilities they have delegated to you permanently.

At 6 months: Operations run more smoothly because you made them that way. Processes are documented. Onboarding is consistent. Leadership is spending their energy on clinical quality and strategic growth.
