Full Job Description

Job Overview

This position is responsible for preparing, reviewing, and processing customer invoices accurately and in a timely manner. This position works closely with sales, customer service, shipping, and accounting to ensure billing accuracy, resolve discrepancies, and support efficient cash collection. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities while maintaining a high level of accuracy.

Total Compensation Package:

Base Salary - Dependent on experience

Monthly Incentive Bonuses

Year End Profit Sharing

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Prepare, issue, and manage invoices in a timely and accurate manner.

· Organize and maintain packing slips and other financial documentation.

· Process checks and credit card payments, ensuring proper allocation and recording of transactions.

· Update customer records and accounts with payment and billing information.

· Perform data entry for financial transactions and other accounting-related tasks.

· Reconcile and verify the accuracy of invoices and payment records.

· Collaborate with internal departments to resolve billing discrepancies or customer inquiries.

· Assist with other clerical or administrative tasks as needed.

QUALIFICATIONS:

1-3 years of experience in a similar role
Expertise in Microsoft Office, in particular Excel, PowerPoint, and Word required

· Proactive self-starter with hands-on approach

Excellent interpersonal and communication skills, both oral and written
Strong organizational skills and the ability to multitask
Ability to work quickly and accurately in a fast paced, changing environment
Ability to meet deadlines in a consistent and accurate manner
Demonstrated ability in working independently and as part of a team

Education

High school diploma or equivalent required.
Associate degree in Accounting, Business, or Finance preferred.

Experience

2–4 years of billing, invoicing, accounts receivable, or accounting experience preferred.
Experience in a manufacturing, distribution, or industrial environment is a plus.
Experience with ERP systems (Microsoft Dynamics GP, SAP, Oracle, NetSuite, etc.) preferred.

Required Skills

Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Proficiency in Microsoft Excel and Microsoft Office.
Ability to analyze billing discrepancies and resolve issues efficiently.
Strong written and verbal communication skills.
Ability to prioritize multiple tasks and meet deadlines.
Customer service mindset with professional communication skills.
Basic understanding of accounting principles.
Ability to maintain confidentiality of financial information.

Preferred Skills

Experience with electronic invoicing (EDI).
Knowledge of sales tax requirements.
Experience with document management systems.
Familiarity with freight billing and customer chargeback processes.
Continuous improvement mindset with experience identifying process efficiencies.

Physical Requirements

Ability to sit for extended periods while working at a computer.
Occasional lifting of files or office materials up to 20 pounds.
Ability to communicate effectively in person, by phone, and electronically.

Performance Expectations

Produce accurate invoices with minimal errors.
Meet established billing deadlines.
Resolve billing issues promptly.
Maintain organized and complete billing documentation.
Provide excellent internal and external customer service.

Pay: $55,000.00 - $65,000.00 per year
