Summary

Carient Heart and Vascular is a leading cardiovascular group of 22 Cardiologists, 2 Vascular/Endovascular Physicians, and 18 mid-level providers in Northern Virginia. We value professional growth, quality colleagues, in a well-established successful group practice; dedicated to providing our patients with the highest level of care.

We are looking for a motivated, detail oriented and experienced Procedure Scheduler to join our patient focused team of professionals at our cardiovascular practice in Manassas, VA.

We offer competitive salary and benefits.The Procedure/Hospital Scheduler is responsible for coordinating, and managing all aspects of hospital, ambulatory surgery center (ASC), angio suite, and office-based procedures for patients within Carient Heart & Vascular. This position serves as the primary liaison between patients, physicians, hospitals, ambulatory surgery centers, vendors, and ancillary departments to ensure seamless coordination of care.

The Procedure & Hospital Scheduler is responsible for the complete scheduling process from initiation to completion, including securing procedure dates, coordinating pre-operative requirements, providing patient education, and instructions, scheduling follow-up appointments, and maintaining accurate documentation within the Electronic Medical Record (EMR). The individual must demonstrate exceptional organizational skills, attention to detail, professionalism, and the ability to effectively manage multiple priorities in a fast-paced healthcare environment.

Essential Duties and Responsibilities

Procedure & Hospital Scheduling

Coordinate, and schedule all hospital-based, ASC-based, angio suite, and office-based procedures in accordance with physician orders, and organizational protocols.
Serve as the primary point of contact for patients throughout the scheduling process.
Schedule procedures with hospitals, ambulatory surgery centers, the angio suite, and ancillary departments while ensuring all required information is accurately documented in the EMR.
Coordinate scheduling for electrophysiology procedures (device implants, generator changes, cardioversions, transesophageal echocardiograms (TEE), loop recorder implants/explants/replacements, ablations, Watchman, Tikosyn/Sotalol admissions, and any additional EP procedures).
Coordinate scheduling for catheterization procedures (caths, CTO, ASD/PFO, carotid stents).
Coordinate scheduling for angio suite procedures (angios, vein procedures, sclerotherapy, phlebectomies, and dialysis procedures).
Receive, review, and process procedure scheduling requests from referring providers, outside physician offices, hospitals, emergency departments, and other external referral sources.
Collaborate with physicians, advanced practice providers, hospital staff, and external healthcare facilities to coordinate patient care, and procedure logistics.
Proactively manage scheduling opportunities by identifying, and filling open procedure slots, cancellations, and schedule gaps to maximize provider utilization, and patient access.
Coordinate procedures requiring multiple providers, facilities, or specialties to ensure timely, and efficient scheduling.

Pre-Operative Coordination

Ensure all pre-procedure requirements are completed prior to the scheduled procedure date.
Verify patients have received all necessary laboratory orders, diagnostic testing orders, and pre-operative instructions (including medications to be held).
Coordinate, and schedule pre-operative calls, and document all patient communication within the EMR per organizational protocols.
Review patient charts to ensure required testing, laboratory results, clearances, and documentation have been received, and are available for physician review.
Ensure procedure packets, educational materials, and patient instructions are provided to patients in a timely manner.
Provide patients with comprehensive procedure instructions, including medication management, fasting requirements, arrival times, and post-procedure expectations.

Documentation & Compliance

Accurately document all scheduling activity, patient communications, procedure details, insurance authorizations, and scheduling notes within the EMR.
Maintain complete, and detailed documentation that supports continuity of care and compliance with organizational standards.
Submit, and track required documentation for prior authorizations, and insurance verification processes.
Verify receipt of all laboratory results, and supporting documentation required for scheduled procedures.
Ensure compliance with HIPAA, OSHA, and all applicable regulatory requirements.
Maintain strict confidentiality of patient, physician, and organizational information.

Patient & Facility Coordination

Communicate procedure dates, times, locations, and preparation instructions to patients, and/or caregivers.
Coordinate with hospitals, surgery centers, angio suite, and vendor representatives to ensure all procedural requirements are met.
Notify device representatives, and vendors of scheduled implant, and ablation procedures as required.
Resolve scheduling conflicts, patient concerns, and logistical issues in a professional, and timely manner.

Follow-Up & Continuity of Care

Schedule all required follow-up appointments at the time of procedure scheduling.
Coordinate wound checks, post-procedure evaluations, and diagnostic testing follow-up visits.
Ensure appropriate appointment notes, and documentation are entered to support ongoing patient care.
Monitor scheduled procedures to ensure completion, and facilitate any necessary rescheduling or follow-up activities.

Additional Responsibilities

Provide cross-coverage for EP, cath, and Angio Suite scheduling as delegated by the management, and maintain up-to-date training.
Participate in departmental meetings, training programs, and quality improvement initiatives.
Assist with special projects, and perform additional duties as assigned by management.
Support organizational goals related to patient access, scheduling efficiency, and patient satisfaction.

Pay: $1.00 - $2.00 per hour
