Full Job Description

Medical front Desk Manager / Front Office Coordinator

We are looking for a highly organized and patient-focused Front Office Coordinator to support daily clinic operations, manage patient communication, and coordinate scheduling for both physician appointments and hyperbaric therapy sessions. This is not a standard receptionist role. This position is focused on building strong patient relationships, keeping the schedule full, following up consistently, and ensuring every patient receives a smooth and caring experience from the first call through ongoing treatment.

Key Responsibilities

Patient Engagement & Communication

Serve as the main point of contact for patients by phone, email, and in person.
Provide warm, professional, and helpful communication at every stage of the patient journey.
Answer incoming calls related to medical, hyperbaric, and wound care services.
Follow up with patients regarding appointments, missed visits, next steps, and ongoing care.
Address patient questions or concerns and escalate clinical, billing, or insurance issues when needed.
Patient Intake, Check-In & Documentation.

Scheduling & Daily Schedule Management

Schedule physician visits, medical evaluations, follow-up appointments, and hyperbaric therapy sessions.
Maintain and optimize the daily schedule to keep appointment slots properly filled.
Confirm appointments, send reminders, and help reduce cancellations and no-shows.
Reschedule missed or canceled appointments quickly and coordinate changes with patients and staff.
Complete daily schedule reconciliation in the EMR.

Insurance, Authorizations & Patient Accounts

Verify insurance eligibility, benefits, and third-party payer information.
Collect and record patient payments when applicable.
Support patient account updates, billing-related questions, EOBs, and patient statements.

Daily Clinic Operations

Support smooth patient flow throughout the clinic.
Assist the physician or clinical team with room coordination when needed.
Monitor and restock office and clinical supplies.
Handle mail, packages, maintenance requests, and general administrative tasks as needed.

Required Qualifications

Previous experience in a medical office, healthcare clinic, or patient coordination role.
Strong experience with patient scheduling, follow-up, and front desk operations.
Experience with EMR/EHR systems.
Knowledge of insurance verification, benefits, authorizations.
Strong phone etiquette and professional written communication skills.
Excellent organization, multitasking, and attention to detail.
Compassionate, proactive, and patient-focused approach.
English-Spanish speaking is preferred.

Preferred Qualifications

Experience in wound care, hyperbaric medicine, specialty care, or outpatient clinics.
Experience with CRM systems.
Experience with patient statements, payments, or basic billing support.

Pay: $17.00 - $25.00 per hour
