Full Job Description

A well established Heavy Duty Truck Dealer located in Waco, TX seeks a Parts Operations Supervisor. The Parts Operations Supervisor is responsible for coordinating and overseeing the daily operational activities of the Parts Department. This position serves as the primary day-to-day leader for parts counter personnel and parts delivery drivers and helps ensure that parts operations are organized, efficient, accurate, and responsive to both internal and external customers.

This is a hands-on position. Although direct customer parts sales are not the primary responsibility, the Parts Operations Supervisor must possess strong parts knowledge and be capable of assisting customers and handling counter responsibilities when staffing or business conditions require.

Essential Duties and Responsibilities

Daily Operations of the Parts Department

Provide daily supervision, direction, and workflow management for parts counter personnel.
Oversee the parts sales counter and customer lobby to ensure customers are assisted promptly and professionally.
Assign and prioritize work for counter personnel based on customer, shop, and operational needs.
Monitor workload throughout the day and adjust assignments as necessary.
Support the Parts Manager in maintaining departmental processes, standards, and accountability.
Monitor open parts tickets and ensure outstanding transactions are researched and resolved in a timely manner.

Parts Delivery Operations

Provide daily supervision and direction to parts delivery drivers.
Coordinate urgent or special deliveries when necessary.
Promote driver accountability, efficiency, professionalism, and customer service.

Service Department Coordination

Serve as the primary point of communication between the Service Department/shop and the parts counter.
Receive and route parts requests from technicians and Service Department personnel to the appropriate counter personnel for processing.
Monitor outstanding shop parts requests and help ensure they are addressed in a timely manner.
Ensure core credits are properly issued on applicable repair orders and Monitor outstanding cores from repair orders and ensure cores are returned to the Parts Department for processing.

Ordering & Backorder Management

Prepare and submit daily orders to suppliers
Monitor order confirmations, shipping status, backorders, shortages, and estimated availability.
Communicate relevant order-status information to parts personnel, Service Department personnel, and other employees as necessary.
Review customer backorder reports regularly and follow up on outstanding items.

Inventory Receiving & Control

Ensure incoming inventory is received accurately and promptly into the dealership management system.
Monitor reports for inventory with missing or incorrect bin locations and ensure issues are corrected.
Assist in maintaining accurate inventory records and identifying inventory discrepancies.

Discrepancies, Credits & Returns

Research and submit discrepancy claims to suppliers when shortages, shipping errors, pricing discrepancies, damaged products, or other issues occur.
Track submitted discrepancy claims through completion.
Verify that expected credits are received and follow up on unresolved claims.
Process inventory return paperwork in accordance with dealership and supplier requirements.

Sales Opportunity Management

Use dealership systems, supplier resources, sales history, customer information, and other available tools to identify additional parts sales opportunities.
Communicate identified opportunities to appropriate parts sales personnel and assist with follow-up when necessary.
Proactively identify recurring customer needs, stocking opportunities, and other ways to improve parts availability and sales.

Communication & Administration

Monitor and manage a high volume of incoming email and electronic communications.
Prioritize time-sensitive requests and ensure appropriate follow-up.
Communicate effectively with customers, technicians, service advisors, parts personnel, drivers, vendors, and dealership management.

Required Skills & Qualifications

Previous heavy-duty truck, automotive, equipment, or related parts experience required.
Previous supervisory, lead, or team leadership experience preferred.
Strong organizational and time-management skills.
Strong attention to detail and commitment to accuracy.
Ability to effectively direct and coordinate the work of others.
Strong verbal and written communication skills.
Comfortable working extensively with computers, email, dealership management systems, electronic catalogs, and reporting tools.
Ability and willingness to learn new computer programs, systems, and processes.
Ability to work independently while also functioning as a team player.
Ability to remain organized and professional in a fast-paced environment with frequent interruptions.

The ideal candidate will be exceptionally strong in these areas:

Heavy-duty truck or dealership parts experience – Strong working knowledge of parts identification, ordering, inventory, backorders, cores, returns, and counter operations.
Strong organization and prioritization skills – Able to manage multiple open orders, backorders, deliveries, shop requests, emails, returns, and inventory issues simultaneously.
Computer and systems proficiency – Comfortable working in several systems, simultaneously
Attention to detail – Accuracy is critical when receiving inventory, issuing credits, processing returns, and creating purchase orders.

Standard work hours to be set between the hours of 7:00 am and 6:00 pm, Monday thru Friday. Hourly range of $27 to $32/ hour with highly qualified, well experienced candidates expected to earn at the higher end of that range. Monthly Incentive Pay opportunities as well.

Pay: From $27.00 per hour
