Full Job Description

We are looking for an enthusiastic candidate to fill the position of Office Coordinator for our Oral & Maxillofacial Surgery practice. The ideal candidate should have skills in managing employees, have a positive attitude, be responsible, excellent with communication skills and in customer service. Flexibility and drive is a must!

This position will oversee all operational activities within the office. Duties and Responsibilities:

Hire, train, develop, and mentor office team
Maintains employee schedules based on patient volume and minimum coverage levels to provide excellent patient care and customer service
Works closely with the doctor to address employee training needs.
Follows and enforces adherence to established policies, procedures, and regulatory requirements.
Hears and resolves complaints/concerns from patients and employees.
Conducts performance reviews for all staff employees.
Conducts meetings with staff to assure everyone is aware of goals and any changes/additions to policies and procedures.
Conducts regular office meetings to keep staff informed of goals and any changes or new requirements in policies and/or procedures.
Sets operational goals for the practice
Works to develop and carry out marketing strategies
Maintains compliance is up to date for practice and doctor which includes all licensures, permits, and training requirements.
Patient check-in and check-out duties
Answer phones
Scheduling of patients
Business development and marketing efforts to dental practices
May assist front or back staff with misc duties (insurance / benefits check etc)
Works to maintain Accounts Receivables
Oversees invoices for accuracy and handles any discrepancies prior to submitting invoices for payment
Oversees hospital case organization
Addresses all IT, maintenance and housekeeping issues as needed.
Additional duties may be assigned.

Qualifications
Knowledge, Skills, and Abilities

Excellent customer/patient service and verbal communication skills. Previous dental office or healthcare experience is required. Preference given to Oral Surgery/Dental work experience
Previous management experience supervising employees is required.
Ability to apply common sense understanding to carry out details written or verbally instructed.
Ability to work in fast paced, patient-focused environment.
Detail oriented with the ability to multi-task.
Listening skills. The Office Manager must be able to listen to patients and employees and work to resolve questions/concerns.
Organizational skills. The Office Manager should have excellent organizational skills; ensure all record keeping and regulatory requirements are fully and accurately completed. The Office Manager may need to handle multiple, competing priorities.
WinOMS experience preferred
