Full Job Description

Overview

The Receptionist serves as the first point of contact for individuals experiencing domestic violence (DV) and seeking therapy services from the Spanish American Center’s Clinician. This role requires professionalism, discretion, and a trauma-informed approach when interacting with survivors. The Receptionist supports daily office operations, reports, and scheduling for the Clinician, while ensuring a welcoming, safe, and confidential environment for clients. This grant-funded position lasts for 12 months but may be extended depending on the candidate and available funding.

Responsibilities

Greet visitors warmly and direct them appropriately, maintaining excellent phone etiquette and customer support standards
Answer and route incoming calls for the Clinician and DV staff, including crisis-related inquiries, with sensitivity and urgency
Maintain confidentiality of all client and organizational information
Schedule appointments and manage calendar for Clinician
Monitor office entry and follow safety protocols to protect clients and staff
Maintain visitor logs and accurate records in accordance with agency policies
Assist with data entry, filing, reports, and general administrative support
Other duties as assigned

Requirements

Proven experience in an office environment with strong organizational skills and attention to detail
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Strong verbal communication skills with a professional phone manner
Previous experience in front desk or administrative roles demonstrating customer service excellence
High school diploma or equivalent (Associate’s degree preferred)
Bilingual or multilingual skills
Strong interpersonal and communication skills
Ability to remain calm and professional in high-stress situations
Commitment to confidentiality and ethical standards
Intermediate to advanced computer skills (Microsoft Office Suite, email systems, data entry)
