Job Summary
The Receptionist / Red Light Therapy Treatment Specialist supports the daily operation of Corrections Med Spa by providing a welcoming, organized, and professional experience from the moment a client contacts or enters the spa.
This position combines front-desk responsibilities with the preparation and delivery of red light therapy treatments. The ideal candidate is warm, dependable, detail-oriented, comfortable communicating with clients, and able to manage multiple responsibilities in a calm and professional manner.
This is a full-time position requiring flexible availability, including some evening shifts and Saturdays. The primary work location is Sudbury; however, the employee must be willing and able to travel to the Pembroke location as needed for initial or ongoing training, meetings, and occasional business needs.Primary ResponsibilitiesReception and Client Experience
- Greet every client warmly and create a welcoming, premium, and comfortable environment.
- Answer incoming telephone calls, text messages, emails, and general client inquiries in a timely and professional manner.
- Schedule, confirm, reschedule, and cancel appointments using the practice management system.
- Assist clients with completing required intake forms, questionnaires, and consent documents.
- Check clients in and out accurately and efficiently.
- Collect payments and provide receipts when applicable.
- Provide clients with approved information regarding services, appointments, packages, memberships, and preparation instructions.
- Direct treatment-specific, medical, or clinical questions to the appropriate qualified team member.
- Maintain client privacy and confidentiality at all times.
- Monitor the reception and waiting areas and ensure they remain clean, organized, and appropriately stocked.
- Communicate appointment delays, scheduling concerns, or client issues to the appropriate team member.
- Support a consistent client experience across all Corrections locations.
Red Light Therapy Treatments
- Prepare treatment rooms and red light therapy equipment before each appointment.
- Welcome clients into the treatment room and explain the general treatment process using Corrections-approved language.
- Confirm that required forms and treatment documentation have been completed before beginning a session.
- Follow all established red light therapy protocols, safety procedures, contraindication screening requirements, and manufacturer instructions.
- Properly position and wrap clients using the approved Corrections treatment method.
- Set up and monitor treatments according to the client’s established treatment plan and Corrections protocols.
- Check on clients appropriately throughout the treatment and respond promptly to discomfort or concerns.
- Stop treatment and notify the appropriate supervisor or provider if a client reports an unexpected reaction, new medical concern, or contraindication.
- Clean and disinfect treatment equipment and treatment areas between clients.
- Document completed treatments accurately in the client record.
- Report equipment problems, client concerns, incidents, or unusual reactions immediately.
- Maintain client comfort, dignity, and privacy throughout the treatment experience.
Scheduling and Administrative Support
- Maintain an accurate and organized appointment schedule.
- Review upcoming appointments and identify missing forms, scheduling concerns, or special instructions.
- Document client communications and relevant appointment information in the appropriate system.
- Assist with appointment confirmations and approved follow-up communications.
- Maintain organized client records in accordance with Corrections policies.
- Support basic filing, scanning, data entry, and other administrative duties as assigned.
- Assist with inventory counts and notify management when supplies are running low.
- Restock front-desk, treatment-room, and client supplies as needed.
- Assist with laundry, room turnover, and general spa organization.
- Follow opening and closing procedures when assigned.
Team and Operational Support
- Work collaboratively with the owner, management, and other Treatment Specialists.
- Communicate scheduling changes, client concerns, supply needs, and operational issues promptly.
- Follow all Corrections policies, procedures, treatment protocols, and service standards.
- Participate in required staff meetings, training sessions, and competency reviews.
- Help maintain a clean, calm, professional, and client-ready environment.
- Assist with reasonable operational tasks during slower periods.
- Support other team members while remaining within the employee’s assigned training and scope of responsibility.
Required Qualifications
- High school diploma or equivalent.
- Previous reception, customer service, hospitality, wellness, beauty, or medical-office experience preferred.
- Strong interpersonal and communication skills.
- Warm, polished, and professional demeanor.
- Strong organizational skills and attention to detail.
- Ability to manage telephone calls, client arrivals, scheduling, and treatment responsibilities efficiently.
- Computer skills including experience in Word and Excel
- Ability to learn and use scheduling, payment, and client-record systems.
- Ability to follow established procedures consistently.
- Ability to maintain confidentiality and exercise sound judgment.

Physical Requirements
The employee must be able to:
- Stand, walk, bend, reach, and move throughout the spa for extended periods.
- Assist clients with positioning while maintaining appropriate safety and privacy.
- Lift and carry treatment supplies, laundry, and equipment components as reasonably required.
- Perform repetitive wrapping and treatment setup activities.
- Safely clean and disinfect treatment rooms and equipment.
- Perform front-desk and computer-based duties for portions of the workday.

Pay: $18.00 - $23.00 per hour
