Full Job Description

JOB SUMMARY

The IT Manager serves as the museum’s primary on-site technology support resource, providing day-to-day technical assistance and helping maintain reliable, user-friendly systems across the organization. This role focuses on end-user support, basic systems administration, and coordination with external technology vendors and managed service providers.

Working closely with staff across departments, the IT Manager supports routine operations, assists with technology improvements, and helps ensure systems meet the needs of museum programming and administration. This role is hands-on, collaborative, and suited for a self-directed professional who is comfortable supporting non-technical users in a mission-driven environment.

ESSENTIAL DUTIES and RESPONSIBILITIES

IT Operations & User Support

Provide day-to-day technical support and troubleshooting for staff and organizational systems
Configure, deploy, and maintain desktops, laptops, printers, phones, mobile devices, and audiovisual equipment
Coordinate employee onboarding and offboarding, including equipment setup, account provisioning, and access management
Maintain inventory of technology equipment, software licenses, and IT assets
Support technology purchasing, equipment replacement planning, and basic IT budgeting activities
Create and maintain clear IT documentation, procedures, and user support materials

Systems Administration & Security

Administer Microsoft 365 services, including Exchange Online, Teams, SharePoint, and OneDrive
Manage user accounts, permissions, security groups, and multi-factor authentication
Maintain identity systems, including Azure AD and/or Active Directory
Support cybersecurity efforts, including endpoint protection, backups, and phishing response
Monitor system performance and assist with routine updates, patching, and maintenance
Escalate complex issues and coordinate with managed service providers when needed

Technology Operations & Business Systems

Support implementation and coordination of IT projects such as hardware rollouts, system upgrades, and software deployments
Evaluate hardware and software options for usability, compatibility, and operational fit
Assist in testing and validation of new systems and tools
Support business applications, including CRM, ticketing, point-of-sale, and payment systems
Collaborate with departments to understand needs and recommend practical technology solutions
Provide support for meeting room technology, presentations, and hybrid collaboration tools

Vendor & Asset Coordination

Coordinate with technology vendors and service providers for support, purchasing, and issue resolution
Track vendor performance and escalate concerns as needed
Support procurement and lifecycle management of IT equipment and software
Maintain accurate records of assets, licenses, and support agreements

Telecommunications, Security Systems & Event Support

Provide support for phone systems, including user setup and basic troubleshooting
Coordinate with vendors supporting telecommunications, security cameras, and access control systems
Assist with planning and coordination of minor technology upgrades and improvements
Provide technology support for events and public programs
Coordinate event-related needs such as Wi-Fi, ticketing systems, point-of-sale devices, and audiovisual setup
Troubleshoot issues during events and ensure systems are operational

SUPERVISORY RESPONSIBILITIES

The IT Manager does not have any direct supervisory responsibilities.

QUALIFICATIONS and EXPERIENCE

Associate’s or Bachelor’s degree in IT or related field preferred, or equivalent experience
3–5 years of IT support experience
Experience with Microsoft 365, Windows environments, and end-user support
Working knowledge of cloud systems, identity management, and cybersecurity basics
Familiarity with networking, IT assets, and vendor coordination
Strong troubleshooting, organization, and communication skills
Ability to manage multiple priorities
Experience in nonprofit, museum, or similar environments preferred

PHYSICAL DEMANDS and WORK ENVIRONMENT

This role is primarily based in an office setting, with regular movement throughout museum offices, galleries, storage areas, and other public facing spaces. The position may require sitting or standing for extended periods and communicating effectively in person and through electronic communication. Occasional lifting of materials up to approximately 20 lbs may be required. Work schedules may include occasional evenings, weekends, or special events depending on museum programming and operational needs.
