Full Job Description

Professional who can work within established procedures. Building and maintaining positive internal and external customer relationships while consistently responding to all customer inquiries. Assist Sales Reps with any customer issues as needed. Some technical knowledge or experience in the manufacturing/construction industry.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Process and enter orders using M2M System accurately, along with customer requests as part of the duties of the job.

· Create bills of material within the system from sales estimates.

· Read and understand CAD/Blueprint drawings from job/project specifications.

· Keep records of customer interactions and transactions in detail form to eliminate any errors should unlikely situations progress.

· Communicate and coordinate with internal departments in planning for the customers to get their product in a timely manner.

· Possess a good knowledge of customer service principles and practices.

· Working knowledge of computer applications; Microsoft Word, Excel, Outlook, Smart Sheet and experience using Aptean M2M system a plus.

· Possess a good knowledge of administrative procedures.

· Excellent communication skills - verbal and written, and good listening skills are required.

· Attention to detail to make accurate decisions that are good for both the customer and the company.

· Answer customer and sales representative inquiries in a timely manner.

· Prepare and send sales order acknowledgments completion notification to customers.

· Field customers calls and emails in a timely manner.

· Process and track customer complaints until resolved.

· Expedite Orders (if approved by scheduling and production).

· Follow up of completed orders not shipped within acknowledged date.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE
High School diploma, Associate or general education degree or equivalent. Must possess software computer skills and a working knowledge of database systems. Have some technical experience in manufacturing.

COMMUNICATION SKILLS
Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations. Ability to understand dimensions on drawings and specifications.

CRITICAL THINKING SKILLS
Ability to use common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few known variables in situations of a routine nature.

SUPERVISION RECEIVED
Under general supervision where standard practice enables the employee to proceed alone on routine work, referring all questionable cases to supervisor.

PLANNING
Limited responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of own work operations.

DECISION MAKING
Performs work operations which permit frequent opportunity for decision-making of minor importance and which would not only affect the operating efficiency of the individual involved, but would also affect the work operations of other employees and/or clientele to a slight degree.

MENTAL DEMAND
Moderate mental demand. Operations requiring almost continuous attention, but work is sufficiently repetitive that a habit cycle is formed; operations requiring intermittent directed thinking to determine or select materials, equipment or operations where variable sequences may be selected by the employee.

Errors might possibly go undetected for a considerable period of time, thereby creating an inaccurate picture of an existing situation. Regular contacts with patrons, either within the office or in the field. May also involve occasional self-initiated contacts to patrons. Lack of tact and judgment may result in a limited type of problem for the organization.

Contacts with other departments or offices and also frequently with individuals in middle level positions; consulting on problems which necessitate judgment and tact in presentation to obtain cooperation or approval of action to be taken. Also, important contacts with associates as required in advanced supervisory jobs.
