Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth functioning of our office environment. Your energetic approach and attention to detail will help foster a productive, welcoming space for both staff and visitors. This position offers an exciting opportunity to develop your administrative skills while supporting various office functions. The ideal candidate is proactive, tech-savvy, and excels in multitasking with a positive attitude.

Responsibilities

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office (Word, Excel)
Maintain organized filing systems, both digital and physical, ensuring easy access to documents and records
Assist with calendar management and scheduling appointments for staff or management teams
Support office management activities including supply inventory, order processing, and equipment maintenance
Provide excellent customer service by addressing inquiries promptly and efficiently via phone or email

Requirements

Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with productivity software
Strong computer literacy including data entry, file management, and technical proficiency with office equipment
Excellent phone etiquette and communication skills, including experience with multi-line phone systems and client interaction
Bilingual abilities are a plus to support diverse client needs and team communication
Demonstrated ability to prioritize tasks effectively in a fast-paced environment with excellent time management skills
Personal assistant or administrative experience is preferred but not required; willingness to learn is essential
