Full Job Description

Position Summary:
The Program Support Coordinator provides administrative and operational support to the Head Start Program Office, including assisting the USDA Food Services Manager with ordering food and supplies for Head Start and Early Head Start sites. This position coordinates program schedules, forms, flyers, calendars, records, and other program activities to support efficient operations. The Coordinator promotes effective communication, teamwork, organization, and safety across program services.

Essential Job Functions:
1. Provide administrative/program support to the Head Start Program Office to include copier projects, mail handling, and necessary internal and external communications.
2. Provide courteous and professional responses to telephone and on-site requests for information from community, parents, and site personnel.
3. Serve as the first point of contact for families, visitors, and community partners. Greet and assist parents and guests, answer and direct phone calls, respond to inquiries, and ensure visitors are appropriately signed in and connected with program staff while maintaining confidentiality.
4. Organize Head Start Policy Council meetings; create agenda, notify parents of meeting dates, arrange for meals during meetings, and serve as liaison to parents at Policy Council meetings.
5. Act in a manner that displays the utmost confidentiality and respect of staff, families and children.
6. Communicate to all team members associated with the development of a project about goals and timelines.
7. Experience and ability to courteously be responsive to requests from staff.
8. Assure that all reports, records, training, and data from the program team are maintained and tracked.
9. Participate in Head Start planning for ongoing program monitoring and self-assessment activities, to determine program trends or issues and strategize to ensure completion of follow-up.
10. Support Content team with coordinating special events as requested (policy council, family nights, pre-service, and in-service).
11. Provide support in the preparation and compilation of the parent handbook, disaster plan, calendars, and other preparation that is needed.
12. Coordinate the inventory of office and content office supplies. Monitor supply levels, maintain organized inventory systems, purchase requests, place orders in accordance with program purchasing procedures.
13. Report policy violations and/or unprofessional behavior to the supervisor in a timely manner in accordance with EPIC’s policies/procedures and with WACs.
14. Help maintain EPIC’s emergency phone line with accurate and current information regarding school closures.
15. Coordinate and place timely food and supply orders for Head Start and Early Head Start sites in collaboration with the USDA Food Services Manager, ensuring orders are accurate, cost-effective, properly documented, and consistent with approved menus, budgets, program needs, and applicable USDA requirements.
16. Perform other duties and support with special projects as needed by the Program office.

Conditions of Employment:

Prior to employment, complete a pre-employment drug screen, Tb skin test by an EPIC approved healthcare provider at no cost to the employee.
Pre-employment basic physical by an EPIC healthcare provider (obtain within (30) days of employment and no cost to the employee).
Must pass an initial and periodic background check through the Washington State Department of Children, Youth & Families (DCYF) in Merit.
Provide proof of MMR vaccination and/ or resistance to Measles, Mumps & Rubella.
Current Food Handlers card.
Current First Aid/CPR card.
Prior to the first day, complete Health & Safety training certificates through DCYF student training portal.
Complete Childcare Basics 30 hours STARS training within 3 months of hire
Meet the minimum education requirements within the timeframe as stated in the performance standards.
Complete Child Abuse and Neglect training and all other mandated training.
CEO Approval.

HS/GED required.

Sufficient skills in typing to complete 50 words per minute accurately and the ability to take sufficient notes at a meeting to prepare an accurate record of events.

Computer expertise in the following programs: Microsoft Word, Microsoft Excel, and Microsoft Publisher.

Bilingual/Biliterate (English/Spanish) preferred; testing for Spanish will be administered.

Excellent communication skills, multi-task skills, attention to detail, editing skills, and the ability to integrate with other team members, coworkers, vendors, clients, and the general public.

Valid Washington State Driver’s license, own transportation, and required auto insurance.
