Full Job Description

JOB TITLE: Office Assistant

DEPARTMENT: Administration

JOB TYPE: Permanent part-time non-exempt hourly health benefit ineligible position

HOURS OF AVAILABILITY:

Monday through Friday 8:30A.M. to 4:00P.M.

EXPECTED WEEKLY HOURS: 25 hours; occasionally will be 26-40 hours to provide office coverage when necessary with an annual average of less than 30 hours per week.

GENERAL DESCRIPTION:

To assist in customer service and the function of the office, providing continuous support to the staff and administration.

DUTIES: Include but are not limited to

· Follow all safety, maintenance, and regulatory policies and procedures.

· Comply with all Federal and State Drinking Water Regulations and Maine Public Utilities Commission(MPUC) requirements.

· Assist in daily opening and/or closing procedures for the office as needed.

· Primary customer support including answering the office phone, manage messages and missed calls, managing the customer/vendor window.

· Manage incoming and outgoing customer email, calendar, and tasks list as directed.

· Assist with data entry such as, scheduling appointments for customer issues, creating work orders and filing documents appropriately.

· Assist with written customer communication as needed.

· Assist with cleaning & maintaining office and office equipment as needed.

· Assist with any project as assigned by supervisor.

· Fulfill all other duties as assigned by supervisor.

REQUIREMENTS:

Work Authorization: Must be legally authorized to work in the United States.

Education and Experience:

· High school diploma or equivalent.

· Experience or employment with relatable office tasks.

Skills and Knowledge:

· Demonstrable knowledge in Microsoft Office Word, Excel, and Outlook

· Demonstratable excellent customer service skills including oral and written communication.

· Must be detail oriented with ability to work effectively with multiple priorities in a given day.

· Must be able to work independently and as a team member.

PERSONAL WORK RELATIONSHIPS:

Supervises: None

Reports to: Business Manager or as assigned by Board of Water Commissioners

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

· Work location:

o Primarily the office currently located at 639 Lisbon St., Lisbon Falls, ME or as defined by the Board of Water Commissioners.

· Physical Requirements:

o Sitting and Standing: Ability to remain in a stationary position or alternate between sitting and standing, 70% sitting, 30% standing to manage reception, greet the public, and complete desk tasks.

o Communication: Sufficient clarity of speech and hearing to answer multi-line phones and converse clearly with the general public in person and via telecommunication.

o Dexterity: Routine use of hands and fingers to operate a computer keyboard, mouse, multi-line phone system, and office machinery like copiers.

o Mobility and Lifting: Occasional movement around the office to access files or equipment, and the ability to independently lift or move light objects up to 15 to 25 pounds (such as reams of paper or file boxes).

o Vision: Adequate close-up and distance vision (with or without correction) to read documents and view computer screens.

Pay: $18.00 - $29.50 per hour
