Full Job Description

As our President continues to drive growth, we are seeking a trusted Executive Assistant to serve as her right-hand partner and help ensure seamless office operations.

Position Summary This is a high-impact role for a proactive, detail-obsessed professional who will take ownership of critical administrative, financial, and project-support functions. You will relieve the President of daily/weekly operational tasks so she can focus on strategic leadership and business development. You will work independently with minimal supervision, collaborate effectively with the project team and Office Manager, and ensure the office runs smoothly even in the President’s absence. Confidentiality, integrity, and reliability are paramount — this is a position of significant trust in a CMMC-compliant federal contractor environment.

Key Responsibilities

Perform daily/weekly QuickBooks updates: allocate bank transactions for overhead expenses, enter new projects, input pay apps, and upload to government payment portals.
Process subcontractor and vendor invoices and track contract balances.
Track and enforce subcontractor agreement process: ensure Office Manager/Project Engineers issue subcontracts, obtain fully executed agreements with all required documents, and file them correctly.
Set up new subcontractors/vendors in the banking portal (ACH information) and prepare payments for President’s approval.
Manage the President’s calendar: schedule meetings, phone calls, and appointments; provide weekly look-ahead reminders.
Prepare meeting materials, take notes, and generate professional meeting minutes (using AI tools where appropriate) for weekly staff meetings.
Create reports, spreadsheets, presentations, and other documents on behalf of the President.
Track all pay apps and payments across subcontracts to support accurate project costing for Project Managers, Director of Construction, and Accountant.
Act as the point of contact to keep the office running efficiently in the President’s absence.

Qualifications – What We’re Looking For

3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role in construction, federal contracting, or a professional services environment (highly preferred).
Proficiency with QuickBooks (required) — experience with construction accounting, pay apps, subcontractor invoicing, and government payment portals is a strong plus.
Advanced Microsoft Excel and Microsoft Office Suite skills; comfort creating reports and spreadsheets.
Experience with AI tools for meeting minutes/notes is a plus.
Strong understanding of (or quick ability to learn) federal contracting compliance, subcontractor agreements, and document control.
Exceptional organizational skills and meticulous attention to detail.
Proven ability to work independently as a self-starter who proactively finds answers and uses all available resources rather than waiting for direction.
Collaborative team player who communicates clearly and works effectively with project teams and leadership.
Highest level of confidentiality, trustworthiness, and reliability — must pass background checks and maintain strict discretion with sensitive financial, contractual, and CUI-related information.
Excellent written and verbal communication skills.
