Job Summary

The Wellness Court Administrative Coordinator is assigned to work with the York County Adult Wellness Courts. This is a high-level position charged with ensuring the daily operations of the Wellness Courts function smoothly and efficiently. The Administrative Coordinator is responsible for providing clerical and administrative duties to the Wellness Courts. This includes processing and tracking referrals, completing acceptance and rejections letters, organizing the orientation schedule, sending notifications of Plea and Pre-Trial dates, entering information into the state Wellness Court case management system (PAJCIS), as well as the Probation department case management system (Monitor). This individual also prepares the weekly court docket for Wellness Court sessions, attends court weekly, maintains client’s program fee balances and collects their weekly fees, oversee the Wellness Court budget, and orders and purchases supplies for the Courts. This individual is responsible for organizing and attending Wellness Court graduations four times annually. The Administrative Coordinator is responsible for maintaining program statistics for the Wellness Court Coordinator and to process other essential probation paperwork.

Responsibilities

Process and track program referrals by entering them into the State Case Management System, ensure all appropriate paperwork is attached and distribute to all parties (District Attorney, Public Defender/ Private Defense Council, Clerk of Courts and Program Coordinator). Maintain oversight of program referrals to ensure timely processing and program acceptance.

Send acceptance and/or denial letters to all appropriate parties.

Schedule orientation for newly accepted program participants to include creating a list of those ready for program admission, notifying all appropriate parties of the date including the Judge, York County Prison, attorneys and the clients. Create and distribute orientation packets.

Schedule plea dates for individuals accepted into the program with Judicial Chambers. Attend scheduled plea dates to note sentences and enter into the appropriate case management systems.

Enter all statistical data into both the state case management system and the County Probation case management system. This includes creating an offender file, entering all relevant data including offender information, sentencing information, drug testing results, weekly Court dates, weekly fees and closing cases as necessary.

Attend weekly Court sessions to operate the laptop and projector for team meetings and enter return Court dates for all participants attending the session.

Maintain client balances for weekly program fee and any SCRAM fees and collects fees from program participants. Deposit program funds weekly with the York County Treasurer’s Office Treatment Court Account. SCRAM fees are tracked and given directly to staff at Vigilnet, Inc.

Maintain program budget including entering revenues and expenses. Responsible to reconcile the account with the Controller’s Office quarterly.

Prepare and process Court orders including creating, obtaining the Judge’s signature, filing with the Clerk of Courts and sending copies to York County Prison.

Organize quarterly program graduations. This includes ordering graduation plaques and ensuring they arrive on sight and creating the event program and distribute to all relevant parties.

Track and process essential paperwork created by assigned probation officers including parole plans, detainers, violation reports, Gagnon I and II hearing paperwork and presentence investigations

Log essential information to track completion and location of paperwork in the Probation Department Case Management System.

Complete transfer paperwork for individuals sentenced in York County but living in another County.

Enter correct sentencing information into the Probation Department Case Management System

Complete Dismissal paperwork.

Complete assigned scanning of essential paperwork into the department LaserFiche system and Treatment Court system.

Cover front reception area as assigned.

Attend monthly unit meetings with Probation Officers and Support Staff Manager.

Attend all required Probation Services or other applicable trainings.

Essential Requirements

High School Diploma or equivalency. 4 years prior experience working in the York County Judicial System is essential with a strong understanding of the Court systems. Strong foundation in and skills with Microsoft products and County Case Management systems are required.

The candidate must pass all clearances as outlined in the Child Protective Services Law and a pre-employment drug screen.
