The Bookkeeper provides financial, administrative, and clerical support to ensure the efficient operation of the school office. Responsibilities include managing financial transactions and records, processing deposits, invoices, purchase orders, and budget documents, maintaining accurate financial reports, and ensuring compliance with district policies and applicable regulations. The Bookkeeper also supports the principal, communicates with staff, families, and district offices, and helps maintain smooth daily school operations while handling confidential information with professionalism and accuracy.

Essential Functions

Maintains accurate financial records, receipts, deposits, purchase orders, invoices, and budget documentation in accordance with district policies and procedures.

Compiles and prepares financial, administrative, and other required reports to support school and district operations.

Maintains accurate files and records, ensuring compliance with district, state, and federal requirements.

Processes and distributes documents, correspondence, and other materials to appropriate staff, families, and district departments.

Responds to inquiries from staff, parents, vendors, and community members by providing accurate information and directing requests as appropriate.

Assists the principal and school staff with administrative, clerical, and financial functions to support daily school operations.

Maintains confidentiality of student, employee, and financial information in accordance with district policies and applicable laws.

Participates in meetings, workshops, and training sessions to remain current on district procedures and financial requirements.

Performs general office duties, including answering phones, processing mail, and providing clerical support as needed.

Serves as a liaison between the school, district departments, families, and vendors to facilitate effective communication and operations.

Prepares written correspondence, reports, and other documentation to support school business operations.

Performs other duties as assigned.
Knowledge, Skills, Abilities

Knowledge of bookkeeping principles, financial recordkeeping, and basic accounting practices.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and school financial and student information systems.

Education and Experience
-
High school diploma or equivalent required; associate degree in business, accounting, finance, or a related field preferred.

Minimum of two (2) years of bookkeeping, accounting, administrative, or school office experience preferred.

Experience with financial recordkeeping, budgeting, purchasing, accounts payable/receivable, and cash handling required.

Experience using computerized financial management systems, Student Information Systems (SIS), and Microsoft Office applications, particularly Excel, Word, and Outlook, preferred.

Experience working in a public school or educational setting preferred.

Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.

Must have and maintain a valid Driver’s License or ability to provide own transportation
