ABOUT THE ORGANIZATION
The Buhl Clubis a community-centered nonprofit organization committed to strengthening quality of life through recreation, wellness, social connection, and educational programming. In addition to operating the Buhl Club, we serve as the managing partner of the Baughman Family Community Center and operate the Children's Center of Mercer County. These responsibilities broaden our reach and create a dynamic, multi-site environment in which financial leadership is essential to long-term sustainability and community impact.
POSITION SUMMARY
The Finance Director is a key member of the Buhl Club leadership team and serves as the organization's financial leader and a strategic partner to the Executive Director, Director of Operations, department leaders, and Board of Directors. The Finance Director provides financial leadership across the Buhl Club and its managed operations, including the Baughman Family Community Center and the Children's Center of Mercer County.
This is a hands-on leadership role responsible for accounting operations, financial reporting, budgeting and forecasting, cash management, internal controls, audit and regulatory coordination, financial analysis, vendor and banking relationships, and financial support for organizational events and initiatives. The Finance Director translates financial information into actionable insights that help the organization steward its resources, strengthen its programs, and advance its mission.
ESSENTIAL FUNCTIONS
Financial Operations & Reporting
· Oversee and maintain accurate financial records and transactions, including payroll, Accounts Payable, Accounts Receivable, reconciliations, and general ledger activity using QuickBooks, CRM software, and other organizational systems.
· Produce timely and accurate financial reports, including Profit and Loss statements with actual-to-budget comparisons, Balance Sheets, Cash Flow statements, forecasts, and other management reports.
· Develop and maintain dashboards and financial benchmarks for the Executive Director, leadership team, Board of Directors, and committees.
· Maintain strong internal controls and consistent accounting procedures across organizational operations.
Budgeting, Forecasting & Strategy
· Work closely with the Executive Director, Director of Operations, and department leaders to develop and manage annual budgets for the Buhl Club, Baughman Family Community Center, and Children's Center of Mercer County.
· Prepare cash-flow forecasts and monitor liquidity, reserves, financial trends, and performance against budget.
· Analyze financial trends and their implications for the organization's current and future financial health.
· Partner with the Executive Director and Director of Operations to identify and allocate resources for programs, projects, facilities, and strategic priorities.
· Provide financial analysis and recommendations that support sound operational and strategic decision-making.
Audit, Compliance & Grant Reporting
· Coordinate the annual audit and the preparation of IRS Form 990, tax filings, and other required reports in partnership with external accountants and auditors.
· Ensure compliance with applicable accounting standards, nonprofit financial requirements, legal obligations, grant requirements, and internal policies.
· Prepare financial and follow-up reports for grantors, donors, governmental agencies, and other funding partners, as required.
· Support grant budgeting, restricted-fund tracking, and financial compliance associated with grants and contributed revenue.
Banking, Vendors & Operational Support
· Establish, maintain, and monitor banking and financing relationships and support cash-management needs.
· Negotiate and manage vendor agreements, bids, contracts, and services in partnership with the Executive Director and Director of Operations to support strong service, value, and organizational efficiency.
· Periodically evaluate vendor relationships, expenses, and operational processes to identify opportunities for cost savings and improved efficiency.
· Ensure appropriate point-of-sale and financial procedures are understood and followed by relevant staff to support accurate financial reporting.
Leadership, Events & Organizational Collaboration
· Work closely with the Executive Director, Director of Operations, and leadership team in the planning and execution of organizational events, fundraising activities, community initiatives, and special projects, including budgeting, financial oversight, vendor coordination, and hands-on support as needed.
· Participate actively as a collaborative member of the leadership team, contributing to organization-wide planning and problem-solving beyond traditional finance responsibilities.
· Prepare for and participate in monthly Board and committee meetings, presenting financial information clearly and responding to questions as appropriate.
· Support revenue-generation opportunities, partnerships, and organizational initiatives by evaluating financial feasibility, developing budgets, and assessing potential financial impact.
· Perform other duties as assigned by the Executive Director that support the mission and effective operation of the organization.
QUALIFICATIONS
· Bachelor's degree in accounting, finance, business, or a related field; equivalent combinations of education and relevant experience may be considered.
· Two or more years of progressively responsible experience in accounting, finance, or fiscal management; nonprofit experience strongly preferred.
· Strong knowledge of budgeting, financial reporting, cash management, internal controls, banking, audits, and general business matters.
· Working knowledge of nonprofit accounting principles, grant and restricted-fund reporting, and regulatory requirements is preferred.
· Proficiency with QuickBooks and strong spreadsheet skills; experience with a CRM software or similar membership/operational systems is a plus.
· Ability to interpret financial information, identify trends, and communicate recommendations to both financial and non-financial audiences.
· Strong organizational, analytical, written, and verbal communication skills.
· Demonstrated ability to work collaboratively with executive leadership, operational leaders, department directors, Board members, vendors, community partners, and external professionals.
· Comfort working in a hands-on, mission-driven environment where leadership team members contribute across functions and support major events and organizational priorities.
WORK ENVIRONMENT & SCHEDULE
· This position regularly uses a computer and other office technology and requires frequent communication by phone, email, and in person.
· The role is primarily office-based but includes regular interaction across Buhl Club operations and program locations.
· The work schedule is primarily daytime hours, with some evening or weekend participation required for Board meetings, organizational events, special projects, and community activities.
