Full Job Description

The Yreka Express Employment office is currently seeking an Administrative Specialist for one of our well established clients here in the Yreka area. Pay is $18.00 - $22.00 DOE.

Position Summary: Administrative and support tasks, inclusive of accounts receivable posting, invoicing, shipping, log accounting, closing and inventory functions, and safety program support tasks. Also will be cross trained in other administrative areas to cover vacations/absences.

Major Tasks:

Manage incoming deliveries with duties as weigh master, ticket sorting and accounting.
Organize and direct product shipping, closely monitoring and balancing trucking requirements with production schedules while accurately matching shipments with customer orders.
Generate daily shipping orders, ensuring proper volumes, pricing and freight charges, responding to all discrepancies, and posting reconciliations.
Post daily by-product shipments with mid-month and month end reconciliations.
Scan records to and maintain Safety Administration to CMMS data base, Basic Safe, assisting production supervisors with administrative needs directed by Safety Management Plan. Monitor training compliance/completeness with regular CMMS Program audits.
Monitor and order office/administrative supplies as needed.
Proof payroll entry: verify time entered by supervisors is correct before final submission to payroll administrator.
Assist management staff with administrative support as assigned.

SKILL REQUIREMENTS:

Minimum of two years of administrative support experience; or an equivalent combination of education and experience.

Must have strong computer skills in Excel and MS Word; strong data entry skills.
Excellent verbal and written communication skills.
Strong organizational skills and the ability to work independently and maintain strict confidentiality are essential.
