Overview

We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This role is vital in ensuring smooth daily operations, managing complex schedules, and providing exceptional administrative support. The ideal candidate will demonstrate proactive problem-solving, excellent communication skills, and a keen eye for detail. Duties

Manage and coordinate executive calendars, appointments, and meetings with precision, ensuring optimal time management.
Prepare, review, and proofread correspondence, reports, presentations, and other documents to maintain high-quality standards.
Handle multi-line phone systems with professionalism, providing excellent customer service and directing calls appropriately.
Organize files, maintain records, and perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace.
Assist with office management duties including supply ordering, filing systems, and maintaining a tidy front desk environment.
Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and manage invoices.
Provide personal assistant support to executives, including travel arrangements, calendar management, and task prioritization.
Facilitate communication across departments by coordinating meetings, preparing agendas, and taking detailed minutes.
Maintain confidentiality of sensitive information while demonstrating strong organizational skills and time management.

Experience

Proven experience as an executive assistant or in a similar administrative role within an office environment.
Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
Excellent phone etiquette skills with experience managing multi-line phone systems and providing customer support.
Bilingual abilities are a plus to assist diverse teams or clients effectively.
Prior experience in office management or clerical roles such as front desk or medical/dental receptionist is highly desirable.
Knowledge of bookkeeping or accounting software like QuickBooks is advantageous for handling financial tasks.
Familiarity with technical proficiency related to productivity software, proofreading documents, filing systems, and calendar management tools.
