Position Summary:

We are seeking an Advisor Service Associate to serve as the primary point of contact for designated financial advisors and their staff. This role is responsible for managing escalated service requests, coordinating with internal departments, custodians, and third-party vendors, and ensuring timely and effective resolution of advisor concerns.

The ideal candidate is a proactive problem solver who thrives in a fast-paced environment, communicates effectively, and is passionate about delivering an exceptional advisor experience. This position requires a strong understanding of financial services operations, compliance, and commission-related processes, as well as the ability to train advisors on technology platforms and recommend workflow improvements.

Key Responsibilities:

Issue Resolution: Troubleshooting and resolving day-to-day problems and escalated issues related to new and existing clients, accounts, transactions, or platform usage.
Service Liaison: Proactively communicate updates and resolutions to advisors and their staff, managing expectations and ensuring they are informed about ongoing progress to restore trust and confidence.
Platform Guidance & Training: Provide administrative training and usability support for internal systems and platforms, ensuring efficient and effective use of technology offerings.
Documentation: Maintain through Monday.com CRM records to capture escalations, archive interactions and feedback from advisors, identify trends, and provide suggestions to improve workflows and platform offerings.
Process Improvement: Participate in departmental process improvement initiatives, utilizing metrics identified in Monday.com and advisor feedback on platform functionality, to improve service processes, increase efficiency, and enhance overall service experience.

Essential Skills and Qualifications

Advisor Support & Issue Resolution

Serve as the primary contact for assigned advisors and support staff.
Take ownership of service issues from escalation through resolution.
Troubleshoot and resolve issues related to client accounts, transactions, platform access, and service processes.
Partner with internal teams, custodians, and third-party vendors to identify and implement solutions.

Relationship Management

Maintain regular communication with advisors regarding open service requests.
Provide proactive updates and manage expectations throughout the resolution process.
Foster advisor confidence through exceptional service and responsiveness.

Platform Training & Support

Deliver administrative training and ongoing support for firm technology platforms and systems.
Assist advisors in maximizing available technology and service offerings.
Recommend workflow enhancements and platform solutions that improve advisor efficiency.

Documentation & Reporting

Maintain accurate records of advisor interactions, escalations, and resolutions within Monday.com CRM.
Track advisor feedback and identify recurring themes or service trends.
Ensure documentation meets firm standards and supports continuous improvement efforts.

Process Improvement

Participate in departmental initiatives focused on enhancing service delivery and operational efficiency.
Analyze advisor feedback and service metrics to recommend process enhancements.
Support initiatives that improve advisor satisfaction, retention, and overall experience.
Take ownership of service issues from escalation through resolution.
Troubleshoot and resolve issues related to client accounts, transactions, platform access, and service processes.
Partner with internal teams, custodians, and third-party vendors to identify and implement solutions.

Qualifications

Required

Minimum of 3 years of experience in the brokerage, wealth management, or RIA industry.
Strong organizational skills with exceptional attention to detail.
Excellent problem-solving and critical-thinking abilities.
Outstanding verbal and written communication skills.
Ability to manage multiple priorities independently while collaborating effectively with internal and external stakeholders.
Strong technical aptitude and ability to quickly learn new software applications and technology platforms.
Onsite in one of our Office locations: Indianapolis, IN, Jupiter, FL, or Oklahoma City, OK

Preferred

Advisor-facing or financial operations experience.
Experience working with custodians and third-party financial services vendors.
Familiarity with CRM systems, preferably Monday.com.
SIE License.
Series 7 License.
