Job Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer support, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage appointment scheduling and calendar coordination for staff or professionals
Handle data entry tasks with accuracy using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Maintain organized filing systems, including digital documents and paper records, ensuring easy retrieval
Support office management activities such as supply ordering, mail distribution, and basic bookkeeping with QuickBooks or similar tools
Assist with clerical tasks like proofreading documents, managing client communication, and supporting administrative projects

Qualifications

Proven office experience with strong computer literacy and proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong customer service skills with professional phone communication and phone etiquette
Bilingual abilities are highly desirable to serve diverse client needs effectively
Experience with multi-line phone systems, data entry, filing, and calendar management is preferred
Familiarity with QuickBooks or bookkeeping software is a plus
Previous roles as a medical or dental receptionist or personal assistant are advantageous but not required
Demonstrated ability to manage time efficiently while maintaining attention to detail
