Full Job Description

We are seeking a meticulous, process-driven Data Entry & Systems Support Specialist to join our team on a part-time basis. In this role, your primary focus will be high-volume data entry, maintaining highly organized digital and physical records, and processing accounting data within QuickBooks.

Alongside your core records responsibilities, you will serve as our internal systems anchor—managing user access rights, identifying software workflow improvements, and acting as the primary liaison with our external software vendors to log, track, and escalate technical support tickets when end-user issues arise. This position is ideal for a highly organized professional who thrives on data accuracy, loves checking off repetitive tasks, and possesses the technical aptitude to troubleshoot web-based tools.

This position is with a client we have staffed continuously for over 15 years and has 4 people currently on the team.

Pay rate adjustable based on experience.

Essential Duties and Responsibilities

Records Management & Data Entry (Core Focus):

Perform high-volume, accurate data entry across multiple web-based business applications and tracking systems.
Handle routine data entry for accounts payable (A/P) and accounts receivable (A/R) within QuickBooks.
Maintain, organize, and archive electronic and paper record-keeping systems.
Perform routine office administrative tasks and maintain inventory data.

Systems & Vendor Support:

Manage basic user onboarding, access permissions, and rights management across business platforms.
Act as the primary point of contact for software vendors; clearly document, log, and follow up on technical support tickets to resolve end-user issues.
Triage internal software questions, resolve minor user errors, and cleanly escalate complex bugs to vendor helpdesks.
Assist the training team by drafting simple user guides, FAQs, and documentation for new software workflows.

Qualification Requirements

Experience: 2–4 years of dedicated experience in data entry, records management, bookkeeping, or a tech-heavy administrative role.
QuickBooks Proficiency: Proven experience with basic QuickBooks data entry (A/P and A/R preferred).
The "Data Mindset": Exceptional attention to detail, strong organizational skills, and a high comfort level with repetitive, accuracy-driven tasks.
Technical Aptitude: Strong skills in Excel, Word, and PowerPoint, with the logical mindset needed to understand user rights/permissions.
Communication: Ability to interact professionally with community members and clearly explain/escalate technical issues to external vendor support teams.
Must have reliable transportation and the ability to work independently.
