Decatur Career Academy Administrative Assistant

The Decatur Career Academy (DCA) Administrative Assistant plays a vital role in supporting the efficient operation of the CTAE department . This position provides daily administrative and clerical support to the CTAE Director, faculty, staff, and students, ensuring the smooth execution of CTAE programs, initiatives, and activities. This position will also support the Student Center staff.

This job description outlines the primary duties and responsibilities of the DCA Administrative Assistant but is not exhaustive. Additional duties may be assigned based on the needs of the CTAE department and the school.

Administrative Support:

Assist with the day-to-day administrative tasks of the CTAE department, including answering phone calls, responding to emails, and managing correspondence.
Assist in developing and disseminating newsletters, announcements, and promotional materials highlighting CTAE achievements and initiatives.
Maintain organized electronic and physical filing systems for CTAE-related documents, records, and resources.
- Schedule appointments, meetings, and events for CTAE faculty and staff as needed.
- Prepare and distribute materials for CTAE meetings, workshops, and events.

Data Management:

Maintain accurate and up-to-date databases of CTAE related information.
Assist in generating and compiling reports on CTAE enrollment, achievement, and program effectiveness for school administrators and stakeholders.
Keep “real time” records of CTAE budget expenditures, grants, and funding allocations.

Qualifications:

High school diploma or equivalent (Associate's or Bachelor's degree preferred).
Previous administrative support experience in an educational setting is desirable.
Proficiency in Google Workspace and CANVA
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent communication and interpersonal skills.
Attention to detail and accuracy in data management.
Ability to maintain confidentiality and handle sensitive information appropriately.

Working Conditions:

The DCA Administrative Assistant typically works in a school office environment during regular school hours.
