Job Summary

We are seeking a dedicated and personable Weekend Receptionist to join our assisted living facility team. The ideal candidate will possess excellent customer service skills, strong organizational abilities, and proficiency in office management. As the Weekend Receptionist, you will serve as the first point of contact for residents, visitors, and staff, ensuring a welcoming environment while efficiently managing administrative tasks. This role offers an opportunity to contribute to a compassionate community that prioritizes residents' well-being and comfort.

Responsibilities

Greet residents, visitors, and staff with professionalism and warmth, providing exceptional customer support at all times.
Operate multi-line phone systems with proper phone etiquette to handle inquiries, direct calls, and relay messages accurately.
Manage front desk duties including scheduling appointments, maintaining visitor logs, and coordinating deliveries.
Utilize computer skills to perform data entry, maintain resident records, and update administrative files using Microsoft Office and Google Workspace applications.
Assist with clerical tasks such as filing, proofreading documents, and managing correspondence to support daily operations.
Support office management functions by organizing supplies, maintaining cleanliness of the reception area, and ensuring efficient workflow.
Handle basic bookkeeping tasks using QuickBooks or similar software for billing and record keeping as needed.
Demonstrate organizational skills by managing calendars for staff or residents when required and prioritizing tasks effectively during weekend shifts.

Experience

Prior office experience in a healthcare or assisted living setting is highly preferred.
Proven experience in front desk operations with multi-line phone systems and customer service roles.
Bilingual abilities are considered a strong asset to facilitate communication with diverse residents and families.
Familiarity with clerical duties such as data entry, filing, proofreading, and calendar management is essential.
Experience with office management software including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and QuickBooks is desirable.
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment.
Previous personal assistant or administrative experience supporting staff or management is advantageous.
