Artavi Med Spa is a medical spa located in the upscale Heights Mercantile shopping center in the heart of the highly desirable Houston Heights. Artavi Med Spa specializes in minimally invasive and noninvasive cosmetic medical treatments including botox, fillers, body contouring, laser treatments, microneedling, PRP, microdermabrasion, dermaplaning, chemical peels, facials, and more!
We are seeking an administrative lead that will help to ensure that operations flow smoothly at the front desk, patients are treated with exceptional service, and become an integral team member of the company.
This employee will be highly motivated, energetic and skilled in customer service, have supervisory responsibilities and will help team members during busy times, including answering phone calls and basic computer skills, and will have a thorough knowledge on the products and services offered in the spa.
The employee is responsible for ensuring an outstanding guest experience, helping with inventory management, scheduling and accounts payable/receivable. This job will require excellent customer service skills, attention to detail, business math skills, high integrity and a hardworking attitude. The employee will have temporary front desk responsibilities including answering phone calls and basic computer skills to fill in as needed and will have a thorough knowledge on the products and services offered in the spa. They will also work to ensure customers needs are met and exceeded, complaints are resolved.

Responsibilities include:
- Model outstanding patient service, written, verbal, and other communication skills.
- Train, coach, and mentor team members to optimal patient service levels.
- Partner with human resources department for coaching and guidance regarding the entire team.
- Attend meetings, training courses, and other learning and development opportunities as made available and/or required
- Partner with the leadership team to make operational decisions to benefit the practice. Understand, analyze, and action plan key performance metrics to successfully lead the front office.
- upselling additional services and products, make retail product suggestions when asked by customers
- ordering inventory and office supplies, assist with bookkeeping/filing/recordkeeping/inventory tasks as needed
- help to keep the spa space clean and neat daily and retail products displayed as required
- support and lead staff and sales in meeting performance objectives, QI initiatives, monthly and weekly sales goals, and development goals
- assist with the recruiting, interview, and training process of new employees
- maintain pleasant professional relationships with current and previous customers
- communicating, implementing, enforcing, and complying with all policies and procedures
- convey organizational changes in a timely manner to all staff
- meeting and/or exceeding clinic goals and expectations
- ensure daily checklist has been completed appropriately
- supervise control of cash and reconcile all transactions at the end of the day with memberships and Alle/Aspire
- effective and proactive communication with the owner
- Qualifications
- minimum of 2 years management experience
- bachelor’s degree or its equivalent
- exceptional interpersonal and communication skills
- effective leadership skills including multi-tasking, delegating, designating, prioritizing, and goal setting and management
- work well independently with minimal supervision
- must maintain high attention to detail
- mathematical skills, proficiency with computers and software systems
- strong guest service orientation
- exhibits sound and accurate judgment
