Title: Underwriting Operations Assistant (UOA)

Classification: Non-Exempt

Salary Grade: 2

Reports to: UW Operations Team Leader

Underwriting Department Purpose

Evaluate risk and exposure for personal and commercial properties, ensuring appropriate insurance coverage is provided.

Job Purpose

The Underwriting Operations Assistant (UOA) supports critical administrative functions within the Underwriting Department and serves as a central triage point for incoming calls and work requests. This role helps route information and documents into the appropriate workflows across the company, including Finance, Claims, and Underwriting. Key responsibilities include managing the numbering/indexing of insurance applications, processing mail, and scanning documents, while partnering with the team to ensure consistent phone coverage and timely, accurate service.

Duties

Index and number new business applications:

o Enter application details into internal systems to assign the appropriate application number and create/index the record.

o Prepare application documents for underwriting and ensure they are routed to the correct workflow for processing.

Coordinate mail retrieval from the post office and manage sorting, opening, and delivery of incoming mail.
Scan and index incoming correspondence.
Support office hospitality needs, including coordinating company lunches and related set-up/clean-up.
Receive and distribute office deliveries, ensuring items are routed to the appropriate individuals or departments.
Maintain shared kitchen and breakroom areas by monitoring supplies and stocking essentials to support day-to-day office needs.
Participate in special projects and process enhancements within the Underwriting Department to improve accuracy, efficiency, and service.
Partner with team members to ensure consistent reception phone coverage during breaks, lunches, and absences, and triage incoming calls to the appropriate department or workflow.
Support other departments as needed

Physical Demands

Position Type

Full-time, on-site position

Standard hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.

Flexibility for occasional evening or weekend work based on business needs

Driving Requirement

A valid New York driver’s license is required.

Travel

Local travel only; no overnight stays.

Education and Experience

1. High school diploma or GED required.

2. Minimum of 1 year of office experience is preferred.

3. Business background from education or professional experience.

4. Some college education is preferred.

5. 2-5 years of experience with data processing systems and Microsoft Office Suite (Word, Excel, Outlook).
