The Quality Assurance Clerk/Assistant ensures the accuracy, compliance, and integrity of all operational documentation, systems, and quality processes. This role supports daily workflow by managing records, verifying work orders, maintaining system data within Quantum, and ensuring audit-ready compliance at all times.
Acting as a central control point between operations, administration, and compliance, this position helps prevent errors, reduce rework, and maintain efficiency. The role is essential to sustaining quality standards, supporting audits, and ensuring consistent, reliable execution of all work activities.
Key Responsibilities
1. Documentation & Logbook Management
- Maintain and update QA logbooks with accurate, timely entries
- Ensure completeness and traceability of all records
- Review logbook entries for errors, omissions, or inconsistencies
2. Systems & Tools Ownership
- Enter and maintain updated manual and procedural references
- Ensure all documentation in Quantum reflects current revisions, approvals, and compliance standards
- Perform routine audits of system data to verify accuracy and completeness
- Coordinate updates to system records when procedures, policies, or manuals change
- Support users in locating and using correct documentation within the system
3. Work Order & Review Control
- Review work orders for accuracy, completeness, and compliance
- Verify that all required documentation is attached and properly filled out
- Cross-check completed work against original scope and approvals
4. Time & Cycle Sheet Processing
- Issue and track time sheets and cycle sheets for operations
- Verify entries for accuracy and alignment with work performed
- Coordinate corrections with supervisors when discrepancies arise
5. Safety & Policy Compliance
- Ensure adherence to company safety standards and operational policies
- Assist in maintaining safety documentation and records
- Report non-compliance issues and support corrective actions
6. Invoicing Support
- Prepare and process invoices based on completed work orders
- Validate billing details against job records and approvals
- Coordinate with accounting to resolve discrepancies
7. Parts & Materials Verification
- Review parts supplements against actual parts received and installed
- Confirm quantities, specifications, and usage accuracy
- Flag variances and coordinate resolution with procurement or operations
8. Calibration Management
- Maintain calibration records for tools and equipment
- Coordinate calibration schedules with external vendors
- Ensure all tools are within certification and compliant with standards
9. Consumables & Chemical Tracking
- Track usage and inventory levels of consumable chemicals
- Maintain proper documentation for storage, handling, and disposal
- Ensure compliance with safety and environmental regulations
10. Filing & Records Management
- Organize and maintain work order files (physical and/or digital)
- Perform routine file audits to ensure completeness and accuracy
- Execute document retention, archiving, and purging per company policy
Qualifications & Requirements
- Minimum of 2 years of experience in Quality Assurance
- Knowledge of FAA Part 145 Repair Station regulations and related quality management systems.
- Strong experience in root cause analysis, corrective/preventive actions, and process improvement methodologies.
- Proven leadership skills with the ability to manage teams and drive a culture of quality and compliance.
- Excellent communication, problem-solving, and decision-making abilities.
- Ability to work collaboratively across departments to ensure seamless quality integration in operations.
