Position Overview:
We are seeking a highly organized and detail-oriented Service Operations Administrator to support our Public Safety Radio, 900 MHz Radio Network, Conventional Radio, and BDA departments.
The Service Operations Administrator reports to the Director of Service Operations and will be responsible for service administration, billing support, sales order processing, procurement activities, and operational support for multiple technical departments. The ideal candidate will work closely with field technicians, service personnel, sales staff, vendors, and internal teams to ensure accurate documentation, efficient workflow, and timely completion of daily operational tasks.
Key Responsibilities:
Service Administration & Billing Support
- Capture, review, and process all service-related billing information from field technicians and in-house technicians.
- Verify labor entries, materials, and service documentation for accuracy and completeness.
- Support billing activities for supported departments.
- Reconcile public safety sales commissions and maintain accurate tracking of sales commission-related activity.
- Maintain organized records related to service activities, completed work, and customer billing.
Sales Order Processing & Procurement
- Enter and manage Public Safety Radio and BDA sales orders.
- Review orders for accuracy and ensure required documentation is complete.
- Coordinate with internal departments to support smooth transition from sales through installation and completion.
- Assist with procurement of equipment, materials, and supplies.
- Coordinate with vendors regarding availability, lead times, and order status.
- Maintain purchase order and material tracking documentation.
BDA Department Administrative Support
- Assist with organizing and maintaining BDA project documentation, including:
-Grid reports
-System submittals
-Project paperwork
- Assist with communication and documentation requirements with Authorities Having Jurisdiction (AHJs).
- Help track permitting requirements, approvals, and project documentation.
Departmental Support
- Serve as an administrative resource to supported departments.
- Assist with maintaining accurate records within company systems.
- Support workflow improvements and process organization.
- Provide administrative assistance to technicians, managers, and project teams as needed.
Qualifications:
Required:
- 1-3 years experience with billing, procurement, purchase orders, or permitting processes.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Ability to work independently while supporting a team environment.
- High school diploma/GED.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Experience with SAP, HubSpot or service management software.
Preferred:
- Experience in telecommunications, two-way radio, public safety communications, construction, or technical service industries.
- Experience supporting field technicians, service departments, vendors, or contractors.
Location/Hours:
This is a full-time position, based in our Marshfield, MA office. Office hours are Monday – Friday, 8 am – 4:30 pm, with a 30-minute unpaid lunch.
Pay/Salary:
$25-$30/hr
