Full Job Description

Overview

This is a senior, hands-on Controller role for a growing multi-entity fuel, convenience store, and real estate operation with approximately 20 legal entities and 15 operating locations across Connecticut and Rhode Island. This role owns the full accounting, reporting, tax, compliance, insurance coordination, and regulatory communication functions of the business.

This is not a bookkeeper role and not a CPA-firm support role. The Controller will operate with real authority, direct access to ownership, and responsibility for ensuring the business is financially sound, compliant, and audit-ready at all times.

Who This Role Is NOT For

This role is NOT a fit for:

Bookkeepers or staff accountants
Candidates who have never owned a full monthly close
Candidates who rely on CPAs to fix or finalize books
Anyone uncomfortable communicating with regulators, insurers, or attorneys
Candidates who require step-by-step direction or lack independent judgment

If you prefer narrow scopes or highly defined silos, this role will not be a good fit.

Core Responsibilities

The Controller will have end-to-end ownership of the following:

Own and deliver accurate monthly, quarterly, and year-end closes for all entities (target: within 10 business days)
Maintain clean, GAAP-consistent books with strict entity separation
Prepare and file all required sales tax and related filings; handle tax notices and audits
Oversee multi-entity accounting, intercompany transactions, and allocations
Manage all bank reconciliations, cash controls, and working capital visibility
Oversee accounts payable and accounts receivable, including approval authority up to $1,000
Reconcile POS sales, EFT batches, and merchant processing activity
Oversee fuel financial controls, including gallon reconciliation and margin analysis
Produce clear monthly financial reports and KPIs by entity and location
Manage and review the work of a four-person offshore accounting team
Maintain and control QuickBooks Desktop/Enterprise systems and chart of accounts
Coordinate with external CPAs, bankers, auditors, and lenders
Track loans, covenants, amortization schedules, and lender reporting requirements

Insurance, Licensing & Compliance

The Controller will be the central point of accountability for insurance, licensing, and regulatory compliance, including:

Coordinating insurance renewals (general liability, property, pollution, umbrella, auto)
Managing certificates of insurance and exposure schedules
Coordinating and documenting insurance claims (ownership approves settlements)
Maintaining a master compliance calendar
Tracking and renewing all business, fuel, tobacco/nicotine, lottery (if applicable), and weights & measures licenses
Serving as the primary point of contact for regulatory agencies including CT DEEP, RI DEM, Fire Marshal, Health Department, and Departments of Revenue
Receiving, logging, and coordinating responses to regulatory notices and inspections

Legal & Government Communication

The Controller will receive, log, and coordinate responses to legal and governmental correspondence, including:

Legal notices and formal letters
Tax notices and assessments
Regulatory communications and deadlines

The Controller will prepare factual documentation, coordinate with attorneys, track deadlines, and ensure timely responses. Legal advice and strategy remain with external counsel and ownership.

Real Estate, Construction & Capital Projects

Responsibilities also include:

Real estate accounting, including rent rolls, CAM reconciliations, property taxes, and ground leases
Construction and capital project accounting, including draw tracking, pay applications, capitalization of assets, and lender draw coordination
Monitoring CapEx vs OpEx and maintaining project-level cost visibility

Internal Controls & Risk

The Controller is responsible for maintaining strong internal controls and proactively identifying financial, compliance, or operational risk. This role has authority to halt payments, override manager decisions when risk exists, and escalate issues directly to ownership without delay.

Ownership should never learn about a financial, tax, legal, insurance, or regulatory issue from a third party first.

Required Qualifications

3+ years of progressive accounting or finance experience
Prior ownership of a monthly close process
Demonstrated multi-entity accounting experience
Direct experience preparing and filing sales tax returns
Strong QuickBooks Desktop or Enterprise experience
Comfortable acting as point of contact with regulators and external professionals
Ability to operate independently with sound judgment

Preferred Qualifications

Experience in retail, fuel, convenience store, hospitality, or real estate environments
Experience managing offshore or remote accounting teams
CPA or advanced accounting credentials (not required)

Compensation & Structure

Salary range: $70,000-$110,000 , commensurate with experience
Bonus potential based on performance
Full-time role with direct access to ownership
Long-term growth opportunity as the organization continues to expand
