Position Overview

The Receptionist serves as the primary front desk representative for the program and is the first point of contact for patients, hospital staff, case management teams, and community partners. We are seeking someone who is professional, friendly, compassionate, and highly approachable, with a strong hospitality and customer service background.

The ideal candidate may come from healthcare, hospitality, restaurant hosting, concierge, or other customer-facing environments. Even without a medical background, candidates with strong people skills, professionalism, and experience interacting with customers and clients are highly encouraged to apply.

We are especially looking for individuals with a warm and welcoming personality who are comfortable engaging in conversation, creating positive interactions, and making patients and visitors feel comfortable and respected. This is a front desk position that requires strong communication skills, multitasking abilities, professionalism, and excellent customer service.

This role supports daily operations through patient interaction, administrative support, scheduling, communication with hospital teams, order coordination, payment processing, and document management. This is an excellent opportunity for someone looking to transition their hospitality and customer service experience into the healthcare industry.

Key Responsibilities

Greet patients and visitors in a warm, professional, and welcoming manner

Maintain a positive and respectful front desk environment

Answer, manage, and route multiple incoming phone calls professionally

Provide excellent customer service and patient support

Assist with patient intake and collect initial patient information

Scan, upload, organize, and maintain patient documentation, insurance cards, IDs, and required forms

Support insurance verification and ensure accurate documentation

Create and process hospital orders accurately and efficiently

Communicate with hospital case management teams regarding patient orders and delivery coordination

Confirm deliveries and maintain communication updates with hospital staff and patients

Schedule appointments and manage calendars efficiently

Collect patient payments and process transactions accurately

Run and track monthly payment and billing activities

Maintain organized records, logs, and data entry systems

Support communication between program staff, patients, and hospital teams

Conduct routine follow-ups for pediatric patients as required

Review usage reports and assist with patient outreach when patients appear unresponsive or non-compliant

Qualifications

High school diploma or equivalent

Fluent in both Spanish and English (required)

1+ year of receptionist, front desk, hospitality, restaurant hosting, concierge, or customer service experience

Strong hospitality mindset with a friendly, approachable, and professional demeanor

Excellent customer service and communication skills

Comfortable speaking with patients, clients, hospital staff, and community partners

Experience handling multiple phone lines and multitasking in a busy environment

Strong organizational and interpersonal skills

Basic computer proficiency including Microsoft Office, scanning systems, uploading documents, and data entry

Ability to handle confidential patient and financial information

Experience handling payments, billing, or cash transactions preferred

Ability to multitask and manage multiple responsibilities efficiently

Availability to work occasional weekends as needed

Experience with Brightree software is a strong plus

Experience in healthcare, hospice, medical office, or hospital settings

Familiarity with insurance verification and patient intake processes

Experience working with diverse or vulnerable populations

Previous experience in hospitality, restaurants, hosting, concierge, or high-level customer service roles

Candidates with strong hospitality and customer service backgrounds are encouraged to apply even without prior medical experience

Pay: $12.00 - $16.00 per hour
