Job Overview
We are seeking a dynamic and highly organized Insurance Office Admin to join our team! In this vital role, you will serve as the backbone of our insurance office, ensuring smooth daily operations and delivering exceptional customer support. Your energetic approach and attention to detail will help create a welcoming environment for clients and team members alike. Duties

Manage front desk responsibilities, including greeting clients, answering multi-line phone systems, and directing calls with professional phone etiquette.
Handle data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking.
Oversee office management tasks such as filing, proofreading documents, and organizing client files to ensure seamless workflow.
Support customer service efforts by assisting clients with inquiries, processing policy documents, and providing clear information about services.
Coordinate calendar management and appointment scheduling for agents and staff to optimize daily operations.
Assist with clerical tasks such as typing correspondence, preparing reports, and managing office supplies inventory.
Facilitate communication between team members through effective organizational skills and timely follow-up on administrative tasks.

Experience

Previous office experience in a professional environment is essential, preferably within insurance, finance settings.
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and QuickBooks.
Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced setting.
Bilingual (Chinese) abilities are highly desirable to serve diverse client populations effectively.
Experience in customer support roles that require excellent phone etiquette, data entry accuracy, and clerical precision.
Knowledge of office management practices combined with clerical experience such as filing, proofreading, and calendar management.
Personal assistant experience is a plus, especially if it involved handling sensitive information or managing complex schedules.
