Warehouse Representative / Logistics Senior Representative

Job Description

As a Warehouse Representative / Logistics Senior Representative, you will provide administrative, logistics, and operational support to the warehouse team. You will be responsible for coordinating incoming and outgoing shipments, maintaining accurate inventory and shipment records, preparing required documentation, and ensuring timely communication between the warehouse, management, customers, vendors, and other departments.

In this role, you will also support the day-to-day coordination of logistics activities, monitor shipment schedules and deliveries, assist with resolving shipping and receiving issues, and help ensure warehouse processes are completed accurately and efficiently.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. You should be comfortable taking initiative, identifying and resolving issues, communicating effectively, and assisting the warehouse team wherever support is needed.

Responsibilities

Answer and route warehouse and logistics-related calls and inquiries.
Manage and maintain documentation for all incoming and outgoing warehouse shipments.
Coordinate with managers, customers, vendors, and other departments regarding shipment schedules, delivery status, and logistics concerns.
Monitor incoming shipments and follow up on expected delivery dates and any delays.
Prepare orders for shipment, including printing labels and ensuring they are accurately attached to the correct merchandise.
Track and document shipment arrival and departure times.
Maintain accurate inventory records and assist in identifying and resolving inventory discrepancies.
Record, document, and report damaged, impaired, missing, or incorrectly received merchandise.
Verify shipping and receiving documents for accuracy and completeness.
Coordinate and monitor the movement of merchandise between the warehouse, customers, vendors, and other company locations.
Assist with scheduling and coordinating deliveries, pickups, transfers, and dispatch activities.
Follow up on pending shipments, deliveries, backorders, and other logistics-related matters.
Maintain organized records of purchase orders, delivery receipts, bills of lading, packing lists, and other shipping documentation.
Communicate shipment delays, discrepancies, damages, or other concerns to the Warehouse Supervisor and management in a timely manner.
Assist in resolving shipping, receiving, delivery, and inventory issues.
Coordinate with warehouse personnel to ensure orders and deliveries are prepared and completed according to schedule.
Provide updates to management regarding outstanding shipments, delivery concerns, and other logistics activities.
Assist in monitoring warehouse and logistics processes to ensure established procedures are followed.
Provide guidance and support to warehouse representatives on documentation, shipment tracking, and logistics procedures as needed.
Assist with training new warehouse representatives on administrative and logistics processes.
Support the Warehouse Supervisor and management with reports, inventory reviews, shipment tracking, and other operational requirements.
Assist the warehouse operations team with dispatching and other operational duties as needed.
Perform other warehouse, logistics, and administrative duties as assigned by management.

Requirements

High school diploma or equivalent required.
Previous warehouse, logistics, shipping/receiving, inventory, or administrative experience preferred.
Strong organizational and time-management skills.
Detail-oriented with the ability to identify errors or discrepancies in orders, inventory, and shipping documentation.
Ability to manage multiple tasks and competing priorities effectively.
Strong verbal and written communication skills.
Ability to work effectively with warehouse personnel, management, customers, vendors, and other departments.
Proficient in Microsoft Office, including Excel, Word, and Outlook.
Comfortable using inventory, shipping, tracking, and other computer-based systems.
Strong problem-solving skills and ability to address operational issues promptly.
Ability to work independently while also contributing as part of a team.
Demonstrates initiative, reliability, accountability, and a willingness to assist wherever needed.
Ability to adapt to changing priorities and operational requirements in a fast-paced warehouse environment.
