Job Overview

Join our compassionate team as the Front Desk Associate at our animal shelter, where your friendly demeanor and organizational skills will make a meaningful difference in the lives of animals and visitors alike. In this vital role, you will serve as the welcoming face of the shelter, managing daily administrative tasks, coordinating communications, and ensuring a smooth operation that supports our mission to care for and rehome animals in need. Your enthusiasm and attention to detail will help create a positive environment for both animals and community members.

Responsibilities

Greet visitors warmly, providing excellent customer service and guiding them through the shelter’s procedures
Manage multi-line phone systems to answer inquiries, schedule appointments, and direct calls efficiently
Handle data entry and maintain accurate records using computer skills in Microsoft Office, Google Workspace, and shelter management software like QuickBooks
Organize and file paperwork, including adoption forms, medical records, and administrative documents with precision
Assist with office management tasks such as calendar management, appointment scheduling, and correspondence handling
Support clerical duties including proofreading documents, managing filing systems, and maintaining office supplies.
Qualifications
Proven experience in front desk operations or office management roles with strong organizational skills
Excellent computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software like QuickBooks
Exceptional customer service skills with professional phone etiquette and the ability to handle multiple phone lines effectively
Bilingual abilities are highly preferred to assist a diverse community of pet lovers and clients
Previous clerical or administrative experience is advantageous; familiarity with filing systems and proofreading is a plus
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Personal assistant or office support experience that demonstrates reliability and attention to detail
