Summary/Objective
The Maintenance Planner supports the Maintenance Manager by developing and optimizing preventive maintenance programs, administering the CMMS system, managing work tickets, planning maintenance outages, and generating performance reports. This position ensures efficient resource allocation and maximizes equipment reliability through data-driven maintenance planning.
Essential Functions
· Preventive Maintenance Planning and Optimization
o Develop, review, and continuously revise preventive maintenance (PM) schedules based on equipment manufacturers’ recommendations and historical performance data
o Create new PM routines for equipment lacking established maintenance protocols
o Analyze PM completion rates and effectiveness metrics to identify optimization opportunities
o Implement adjustments to PM intervals and tasks based on failure analysis and equipment condition monitoring
o Collaborate with operations and maintenance teams to ensure PM schedules align with production requirements
· Maintenance Performance Reporting
o Generate comprehensive reports on PM completion rates, trends, and compliance metrics
o Track and analyze PM backlog and scheduling performance
o Identify equipment with declining PM adherence and recommend corrective actions
o Prepare monthly/quarterly maintenance KPI dashboards for management review
o Monitor equipment age, condition, and maintenance history to predict maintenance needs
o Provide data-driven insights to support maintenance strategy decisions
· Maintenance Work Ticket Management
o Administer the CMMS system for all work requests and work orders
o Review and process incoming maintenance requests for completeness and accuracy
o Categorize and prioritize work tickets based on criticality and operational impact
o Schedule and coordinate maintenance activities to minimize production disruption
o Ensure work tickets contain complete information
o Track work order status from creation through completion
o Archive and analyze historical work order data to identify trends and recurring issues
· Maintenance Outage Planning
o Develop comprehensive plans for scheduled maintenance outages including timelines, resource requirements, and task sequencing
o Coordinate with production, engineering, and external contractors on outage logistics
o Create detailed job breakdowns and work packages for outage activities
o Ensure spare parts, tools, and labor are available prior to outage execution
o Maintain outage documentation and lessons learned for process improvement
· CMMS System Administration and Improvement
o Manage daily CMMS operations and troubleshoot system issues
o Develop CMMS reports and dashboards to support decision-making
o Recommend and implement system improvements and process enhancements
o Lead CMMS conversion or migration projects if transitioning systems
o Evaluate and recommend CMMS enhancements to improve maintenance planning capability
· Continuous Improvement and Analysis
o Analyze equipment failures and maintenance history to identify patterns and root causes
o Recommend improvements to maintenance strategies based on equipment trends
o Support the maintenance manager in failure analysis and root cause investigation activities
o Research and recommend new maintenance planning methodologies or technologies
o Develop maintenance performance metrics and tracking mechanisms
Competencies
· Education & Experience:
o High school diploma or equivalent required; Associate’s degree or higher preferred
o Minimum 3-5 years of maintenance planning, scheduling, or coordination experience
o Minimum 2 years of CMMS system administration or maintenance planning experience
o Preferred: Experience implementing, converting, or migrating to a new CMMS platform
o Preferred: Background in manufacturing maintenance or industrial facilities management
· Technical Skills
o Proficiency with CMMS platforms
o Strong knowledge of industrial maintenance, preventive maintenance, and work planning
o Ability to read equipment specifications, work orders, and maintenance manuals
o Intermediate knowledge of mechanical and electrical systems
o Proficient with MS Office Suite, including Excel skills for data analysis and reporting
o Strong computer literacy with ability to learn new software systems quickly
o Data analysis and reporting skills to generate meaningful maintenance metrics

Work Environment
This job operates in a professional office environment and manufacturing areas. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc.

Position Type/Expected Hours of Work
This is a full-time, salary exempt position. Standard days and hours of work are Monday through Friday. Occasional evening and weekend work may be required as job duties demand.
Travel
Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
