WHAT'S THIS ALL ABOUT?
We’re bringing a core accounting and operations function in-house at Teqworks.

This role sits at the center of billing, receivables, payroll, and day-to-day operations, and directly impacts how accurately we translate our work into revenue.

This isn't a company where accounting sits in a back office. Billing accuracy, client communication, and operational follow-through are central to how we serve our clients and run our business. The person in this role will have real ownership, real context, and a direct line to leadership.

We're looking for someone who wants ownership, is comfortable making decisions, takes pride in getting things right, and wants to be part of something they can see their fingerprints on.

ROLE SUMMARY

The Accounting & Office Administrator owns day-to-day accounting operations and sits at the center of how Teqworks bills, collects, and operates.

This role replaces outsourced bookkeeping by bringing billing, receivables, payables, payroll coordination, and office coordination inside the business, where context, judgment, and continuous touch matter. The person in this role develops a deep understanding of Teqworks’ services, client agreements, and billing practices, allowing them to independently resolve most billing decisions and keep operations running smoothly.

This is not a Controller or Accounting Manager role. Higher‑level accounting, tax strategy, and financial advisory remain with an external CPA. Success in this role looks like accurate invoicing, predictable collections, and a calm, well‑run office.

This role requires someone comfortable pushing back internally to ensure billing accuracy and completeness. If you prefer clearly defined tasks without ambiguity or decision-making, this role will not be a fit.

PRIMARY RESPONSIBILITIES

1. Accounting Operations (Core Responsibility)

Own day‑to‑day Accounts Receivable and Accounts Payable

Apply customer payments (ACH, credit card, paper checks)
Process vendor invoices and prepare payments
Manage collections and client payment follow-up
Ensure all billable items are complete, accurate, and properly categorized before invoicing, not after
Perform routine bank and credit card reconciliations
Manage and monitor accounts receivable aging
Follow up on past‑due balances
Communicate professionally with clients regarding billing questions and collections
Maintain accuracy between operational systems (e.g., PSA) and accounting records

Payroll Coordination

Prepare and verify payroll inputs, including hours, PTO, and any adjustments
Coordinate with external payroll provider to ensure accurate and timely processing
Review payroll reports for accuracy before distribution

2. Billing Judgment & Decision Authority

Independently resolve approximately 90% of billing and billability questions, including:

Agreement‑covered vs. out‑of‑agreement work
Correct rates and service categories
Timing and appropriateness of invoicing
Understand when and how to escalate out‑of‑band decisions
Know where authority lives for exceptions
Know which roles or teams must validate unusual charges
Has the authority to return, reject, or delay billing items that do not meet established standards until corrected by the responsible team

Enforce billing discipline internally by:

Flagging incomplete or late time entry
Returning items that cannot be billed as submitted
Helping operational staff understand billing expectations
Hold internal contributors accountable for providing accurate and complete billing inputs

3. Office Administration & Coordination

Serve as the central owner of office administration, including:

Incoming mail and package handling
Paper check deposits
General phone and billing inquiry routing

Manage office logistics, such as:

Office supplies and ordering
Vendor coordination (facilities, services, equipment)
Basic facilities oversight
Provide light coordination support across the office to reduce friction and ambiguity
Create clarity and consistency where responsibilities are currently fragmented
Administrative responsibilities are limited to supporting office operations and accounting workflows; this role is not intended as general executive administrative support

WHAT THIS ROLE IS (AND NOT)

This role is:

Execution‑focused and judgment‑driven
Embedded in the business and its day‑to‑day realities
Empowered to make routine decisions confidently
Accountable for accuracy, timeliness, and follow‑through

This role is not:

An Accounting Manager or Controller
A financial strategist or FP&A analyst
A tax accountant (external CPA retains that responsibility)
A people manager

QUALIFICATIONS & EXPERIENCE

Prior experience in bookkeeping, accounting administration, or office management
Demonstrated ability to manage AR/AP and invoicing independently
Comfort exercising judgment within defined guidelines
Demonstrated ability to enforce process standards and hold others accountable for accurate inputs
Strong organizational skills and attention to detail
Ability to communicate clearly with clients and internal teams
Familiarity with QuickBooks Online
Experience in a professional services or MSP environment is a strong plus

WHAT SUCCESS LOOKS LIKE (FIRST 6–12 MONTHS)

Invoices go out on time, with fewer errors and less rework
Billing questions stop bottlenecking leadership
AR becomes more predictable and actively managed
Office administration has a single, accountable owner
Leadership spends significantly less time on billing and admin cleanup

Pay: $26.00 - $34.00 per hour
