About the Role

We are seeking a highly organized, detail-oriented, and service-minded Operations Associate to provide essential support for the day-to-day operations of a growing financial services practice.

The Operations Associate will help ensure business processing, client service requests, account maintenance, and administrative tasks are completed accurately, timely, and professionally. This position serves as a key point of support for Advisors, clients, and internal partners, helping keep business operations running smoothly and ensuring follow-up does not fall through the cracks.

The ideal candidate is extremely detail-oriented, tech-savvy, proactive, and comfortable working in a fast-paced environment. You should enjoy creating organization, solving problems, following tasks through to completion, and providing a high level of service. Because this role involves sensitive client and financial information, discretion, confidentiality, and professionalism are essential.

Key Responsibilities

· Support day-to-day operational and administrative activities for the practice.

· Process business paperwork, account applications, service requests, and other client-related documentation accurately and efficiently.

· Assist with account maintenance, including updates, transfers, distributions, beneficiary changes, and other servicing needs.

· Monitor and follow up on outstanding business and client service requests to ensure timely completion.

· Coordinate with Advisors, clients, financial institutions, carriers, and internal partners as needed.

· Maintain accurate and organized client records and documentation within the CRM and document management systems.

· Enter, update, and maintain client and business information with a high degree of accuracy.

· Assist with preparing and organizing client and Advisor materials.

· Help identify missing information, processing issues, or outstanding requirements and take appropriate action.

· Track tasks, deadlines, and follow-ups to ensure commitments are completed on time.

· Provide professional and responsive support to clients and Advisors.

· Utilize technology and office systems to improve efficiency and maintain organized workflows.

· Maintain strict confidentiality and handle sensitive client information with discretion and integrity.

· Support additional operational and administrative projects as needed.

What We’re Looking For

· Associate or bachelor’s degree preferred; equivalent financial services, administrative, or client service experience will be considered.

· Prior experience in financial services, insurance, wealth management, banking, operations, or client service preferred.

· Strong attention to detail and the ability to complete paperwork and processing tasks accurately.

· Excellent organizational skills with the ability to manage multiple priorities, follow up consistently, and meet deadlines.

· Strong professional communication skills and the ability to interact effectively with clients, Advisors, and internal partners.

· Tech savvy with the ability and willingness to learn new systems and technology quickly.

· Comfortable using Microsoft Office, Redtail CRM, document management systems, and other business technology.

· Ability to maintain confidentiality and manage sensitive client information with discretion and integrity.

· Service-oriented mindset with a positive, can-do attitude.

· Self-motivated and able to work independently while also contributing effectively as part of a team.

· Professional appearance, communication style, and demeanor.

· Ability to work effectively in a fast-paced environment where priorities may shift.

Pay: From $25.00 per hour
