Administrative Assistant / Office Manager

IC Dirt Work & Maestro TaqueroAmarillo, TX

IC Dirt Work and Maestro Taquero are seeking a highly organized, dependable, and motivated Administrative Assistant / Office Manager to support the daily operations of both businesses. This position plays a key role in keeping our office, projects, and administrative functions running smoothly.

Responsibilities

Create and send customer invoices
Prepare estimates and proposals
Assist with payroll processing and employee records
Track and organize company expenses
Reconcile and manage company credit card transactions
Order machinery parts, office supplies, and materials
Answer phones and communicate with customers, vendors, subcontractors, and employees
Schedule appointments and manage calendars
Follow up on customer payments and outstanding invoices
Pick up checks, permits, and other business-related documents when necessary
Maintain organized project files and records
Assist with QuickBooks and bookkeeping tasks
Support administrative operations for Maestro Taquero, including vendor coordination, office organization, hiring paperwork, and general administration
Perform other office and administrative duties as needed

Required Skills & Qualifications

✅ Must be bilingual (English and Spanish) – spoken and written communication required

✅ Strong organizational and multitasking skills

✅ Professional communication and customer service skills

✅ Computer proficiency, including email, Microsoft Office, and Google Workspace

✅ Ability to work independently and prioritize tasks

✅ Reliable transportation and valid driver’s license

Preferred Qualifications

Experience with QuickBooks
Experience with invoicing, payroll, bookkeeping, or office management
Construction, trucking, or restaurant administration experience is a plus
