Overview

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks with enthusiasm and professionalism. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and demonstrate a strong ability to multitask efficiently. Join us to contribute to a positive office atmosphere while ensuring smooth daily operations!

Set Schedule:

Week 1: Monday-Wednesday 8a-2pm, Thursday & Friday- Off, Saturday and Sunday- 9a-3p

Week 2: Monday- Wednesday 8a-2p, Thursday & Friday- 10A-7P, Saturday and Sunday off

***Rotating Block schedule above.***

Responsibilities

Greet visitors and residents warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, directing calls accurately and professionally while providing excellent customer support.
Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools.
Perform clerical duties such as data entry, filing, proofreading, and maintaining organized records.
Support office management tasks including supply inventory and assisting with administrative projects.
Maintain professional phone etiquette, respond to inquiries efficiently, and provide exceptional customer service at all times.
Assist with additional administrative support such as typing correspondence, managing emails, and supporting personal assistant tasks as needed.

Requirements

Proven experience in front desk or office administration roles, preferably within medical or dental environments.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Bilingual abilities are highly desirable to serve diverse client needs better.
Experience with office management software s
Exceptional phone etiquette with experience handling multi-line phone systems confidently.
Clerical experience including filing, proofreading, and general administrative support is required.
Knowledge of medical or dental receptionist duties is advantageous; personal assistant experience is also valued.
