Job Summary

Performs diverse and complex administrative duties of a Pre-Natal Clinic. Coordinate administrative operations, perform a variety of secretarial duties to include billing and accounting for the program. Answer telephone, screen calls, take messages and schedule appointments. Relate with collateral contacts (spouse, children and significant others) in a supportive role by welcoming them, answering routine questions, distributing printed materials while maintaining confidentiality according to hospital policies. Distribute and maintain supplies for department. Responsible for patient registration, verification, collection of co-pays/deductibles in, pre-certification or authorization of accounts in the absence of the Insurance Liaison. Will refer to the Insurance Liaison for assistance in payment options.

Essential Functions

1. Responsible for the directing and control of daily registration activity and the interaction between physicians and nursing, patient finance, insurance companies and patients.
2. Responsible for preparing and maintaining the patient’s records and review of patient accounts and insurance documentation. Will pre-register patients in anticipation of their arrival for services. Reviews patient’s prior visits to determine if there are outstanding balances and refers to appropriate personnel.
3. Advises, refers and assists patients in obtaining appropriate payment options, including Medicaid and Financial Assistance. Verifies benefits, calculates and collects co-payments or deductibles.
4. Participates as a team member in the daily operation of the Pre-Natal Clinic by assisting the professional staff with coordination of care and services delivered to patients, families, vendors, physicians. Conducts all department activities in a courteous, professional and timely manner with a collaborative spirit. Responsible for incoming and outgoing mail: sorts, prioritizes and routes as indicated.
5. Secure signature of the patient or representative for the release of information to the insurance company, the assignment of insurance benefits to the hospital, the authorization of the patient to receive treatment and any additional required permits or consents.
6. Reviews and applies patient charges directly to the Accounts Receivable file, through order entry, keying and posting processes.
7. Responsible for assuring quality information related to the care through departmental quality control measures.

Qualifications

High School Required
1-3 years Work experience in a hospital setting or medical practice in a front desk position. Preferred
Good administrative and organizational skills. Ability to multi task. Excellent verbal and written communication skills. Bilingual/fluent in Spanish or Creole preferred.

(Medium proficiency)
