Full Job Description

Administrative Assistant

As an Administrative Assistant you will work as part of a service team to effectively execute administrative duties associated with running a mechanical service company.

Compensation

Wage Range Starting at: $23/hr. based on qualifications & experience
Weekly pay

Schedule

Monday – Friday 7:30am – 4:30pm with a 1-hour lunch break

Job Duties

Create reports, filing, scanning and document management
Enter new PM agreements and update PM renewals
Create purchase orders for technicians
Enter vendor invoices into accounting system and process accounts payables
Maintain documentation for purchases, payments, and other business-related expenses
Assist with customer questions and follow ups
Meet accounting deadlines for month-end process and closing cycles
Completes in person and online training as needed
Perform other related duties or special projects as assigned
Collecting on customer accounts receivables
Quoting small repairs to customers for approval.
Daily reports sent to customers for review.

Requirements

1 or more years of administrative assistant experience
Proficiency in MS Word and Excel, knowledge of pivot tables, v-lookups, etc. preferred

Additional requirements

Strong organizational, analytical, problem-solving, oral, and written communication skills
Ability to meet deadlines and perform high work volume with minimal errors and supervision
Maintain a positive, cooperative, and teachable attitude
Comply with and promote the company Safety Policy
Communicate courteously and proactively with all levels within the company
Maintain confidentiality concerning financials and customer transactions
Proactive, self-motivated, detail-oriented, and reliable
Ability to multitask and work independently, as well as in a team environment
Ability to pass a full background screening and drug screening
Ability to travel as needed
