Position Summary
The Community Outreach Coordinator supports Addison Township’s community engagement, event coordination, and communications efforts. The Coordinator represents the Township at community events, resource fairs, and other outreach opportunities and manages the logistical planning and execution of Township-sponsored events and activities.
Working collaboratively with Township departments, the Coordinator ensures that events are well organized, effectively promoted, and welcoming to residents. The position also assists with social media, flyers, newsletters, website updates, event photography, and other communications that increase public awareness of Township programs and services.
This position requires regular evening and weekend availability to attend community events and support Township activities.
Key Responsibilities
Community Outreach & Engagement
● Represent Addison Township at community events, resource fairs, neighborhood activities, festivals, concerts, and other outreach opportunities.
● Engage with residents, answer general questions, and connect individuals with the appropriate Township department or community resource.
● Build and maintain positive working relationships with schools, libraries, park districts, municipalities, nonprofit organizations, faith communities, and other community partners.
● Identify opportunities for the Township to participate in events or expand awareness of its programs and services.
● Coordinate outreach materials, displays, giveaways, equipment, and staffing needs for off-site events.
● Develop and manage the Township’s outreach and community events calendar; track and analyze attendance, resident engagement, referrals, and other participation data; and prepare reports and recommendations to strengthen future outreach efforts.
Township Event Coordination
● Coordinate the planning and execution of Township-wide community events, including Trunk or Treat, Día de los Muertos, community iftar dinners, and other special events.
● Provide logistical support for department-led programs and activities, including senior bingo, lotería, educational workshops, and other Human Services events.
● Develop event plans and coordinate food, prizes, supplies, decorations, entertainment, equipment, signage, registration, room setup, and staffing needs.
● Communicate with vendors, community partners, presenters, volunteers, and participating organizations; obtain quotes and submit purchasing requests in accordance with Township procedures.
● Manage event registration and provide on-site coordination, including setup, participant support, troubleshooting, and cleanup.
● Maintain event records, attendance information, vendor contacts, supply inventories, photographs, and post-event notes, and recommend improvements for future events.
Communications Support
● Draft social media content highlighting Township programs, services, events, community partnerships, and activities.
● Create flyers, event graphics, signs, registration materials, and other promotional content consistent with Township branding.
● Take photographs and gather content during events for use in social media, newsletters, the Township website, and other communications.
● Assist with preparing and organizing content for Township newsletters, calendars, brochures, and informational materials.
● Draft website updates and help ensure information about Township programs, services, and events remains accurate and current.
● Maintain an organized collection of photographs, graphics, flyers, templates, and outreach materials and obtain appropriate approval before content is published or distributed.
Other Responsibilities:

Qualifications and Requirements
● Bachelor’s degree in communications, public relations, marketing, hospitality, or a related field required.
● At least two years of experience in community outreach, event coordination, communications, public relations, hospitality, or a related area.
● Valid Illinois driver’s license and reliable transportation for travel to community events and partner locations.
● Strong organizational and event coordination skills, with the ability to manage multiple priorities, deadlines, and logistical details.
● Excellent interpersonal and customer service skills, with the ability to engage residents and work collaboratively with staff, vendors, volunteers, and community partners.
● Strong written and verbal communication skills, including the ability to prepare clear, engaging public information and promotional content.
● Proficiency with Microsoft Office, social media platforms, and graphic design tools such as Canva.
● Strong attention to detail, sound judgment, and the ability to anticipate needs and resolve problems independently.
● Cultural awareness and the ability to represent the Township professionally while engaging with residents from diverse backgrounds.
Physical Requirements
● Ability to sit, stand, walk, and move throughout Township facilities and community event locations.
● Ability to lift and carry materials weighing up to 50 pounds.
● Ability to set up tables, chairs, displays, and outreach materials for events.
● Ability to work outdoors during community events in varying weather conditions.
