Full Job Description

We are seeking a highly organized and detail-oriented Office Administrator to join our campus located in South Austin, 78704. This role requires strong time management skills, proficiency in administrative tasks, and a friendly demeanor to create a welcoming environment at the front desk.

Job Responsibilities:

Procurement & Inventory Management:

Research and source cost-effective products, ensuring quality and savings.
Develop equipment and product specifications, including substitute materials.
Manage procurement processes, including requisitions, purchase orders, and vendor negotiations.
Oversee inventory management, ensuring appropriate stock levels and cost efficiency.
Audit invoices for accuracy and compliance with purchase orders.
Track requisition and purchase order statuses, processing receipts accordingly.
Ensure vendor quality, delivery commitments, and cost updates.
Collaborate with Accounting & Management to resolve payment issues.
Develop and administer purchasing policies.

Event & Travel Coordination:

Plan and execute industry events, including trade shows, conferences, and networking receptions.
Manage event logistics, such as venue selection, catering, transportation, registration, and promotional materials.
Negotiate with venues and industry organizations to reduce costs and secure added benefits (e.g., signage placements, attendee lists, event promotions).
Work with internal teams to develop pre- and post-event communications.
Maintain event budgets, track expenses, and ensure cost-effective execution.
Assist with event planning and travel coordination when necessary.

Human Resources & Administration:

Use HR software to manage FMLA and other leave/absence administration.
Assist in staffing and recruitment processes, including onboarding new hires and conducting orientations.
Coordinate employee satisfaction surveys and provide insights for improving the employee experience.

Requirements

2 years experience in an HR administrative role or as an office administrator.
Proficient in computer applications including word processing, spreadsheets, and office management software.
Strong interpersonal skills with the ability to work collaboratively in a team environment.
