Full Job Description

The Administrative and Billing Clerk is responsible for providing day-to-day administrative support while managing billing, invoicing, and payment records. This role ensures accurate financial documentation, efficient office operations, and professional communication with clients, vendors, and internal staff.

Key Responsibilities

Prepare, review, and process invoices, billing statements, and payment records

Maintain accurate financial and administrative files (digital and paper)

Verify billing information, resolve discrepancies, and follow up on outstanding payments

Assist with accounts receivable and basic accounts payable tasks

Answer phones, respond to emails, and handle routine correspondence

Schedule appointments, manage calendars, and support office coordination

Enter data into accounting or office management systems with a high level of accuracy

Support other administrative tasks as needed to ensure smooth office operations

Qualifications

High school diploma or equivalent (additional coursework in accounting or administration is a plus)

Previous experience in an administrative, clerical, or billing role preferred

Strong attention to detail and organizational skills

Basic knowledge of billing procedures and office software (e.g., spreadsheets, word processing)

Good written and verbal communication skills

Ability to manage multiple tasks and meet deadlines
