Full Job Description

We are seeking a highly organized, dependable, and professional Executive Assistant to the CEO to provide direct support in a fast-paced and demanding business environment.

This role requires someone who can manage shifting priorities, maintain the CEO’s calendar, capture and organize notes, track follow-up items, assist with project coordination, and help ensure important tasks do not fall through the cracks.

The right candidate will be calm under pressure, detail-oriented, trustworthy, and able to pivot quickly while keeping information organized and actionable.

Key Responsibilities:

Manage and maintain the CEO’s calendar, meetings, appointments, calls, and commitments
Help prioritize daily tasks, deadlines, and follow-up items
Capture notes, dictation, meeting discussions, and verbal instructions
Summarize information into clear action items, next steps, and task lists
Assist with project tracking, timelines, status updates, and follow-through
Prepare meeting notes, agendas, summaries, and supporting documents
Monitor assigned communications and identify urgent or important items
Coordinate communication with employees, contractors, clients, vendors, and business partners as assigned
Track open items and follow up to ensure completion
Assist with document preparation, organization, and electronic filing
Help manage shifting priorities and schedule changes throughout the day
Maintain confidentiality and professionalism in all company matters
Escalate urgent issues, conflicts, or concerns to the CEO promptly

The ideal candidate is someone who:

Is highly organized and detail-oriented
Can manage multiple priorities at once
Communicates clearly and professionally
Takes good notes and can turn conversations into action items
Follows up without needing constant reminders
Is comfortable with frequent changes and competing priorities
Can work independently while keeping the CEO informed
Maintains discretion with confidential business information
Is comfortable using email, calendars, Microsoft Teams, shared files, spreadsheets, and task management tools
Has a strong sense of urgency and accountability

Required Qualifications:

Prior administrative, executive assistant, office support, operations support, or project coordination experience preferred
Strong calendar management and organizational skills
Strong written and verbal communication skills
Ability to take notes, summarize information, and track action items
Ability to handle confidential information appropriately
Proficiency with Microsoft Office, Teams, Outlook, calendars, spreadsheets, and shared electronic filing systems
Ability to work in a fast-paced, on-site office environment

Work Environment:

This is an on-site position based in LeRoy, Michigan. The Executive Assistant will work directly with the CEO and may interact regularly with company leadership, administrative staff, field personnel, clients, vendors, contractors, and outside partners.

This role requires flexibility, professionalism, and the ability to remain organized while priorities change throughout the day.

Accuracy and reliability of the CEO’s calendar
Quality of notes, summaries, and action-item tracking
Timely follow-up on open tasks and commitments
Ability to manage shifting priorities
Clear and professional communication
Confidential handling of sensitive information
Reduction in missed deadlines, forgotten tasks, or scheduling conflicts
Leadership confidence in the assistant’s organization, judgment, and follow-through
