Overview

We are seeking a dynamic and detail-oriented Oficinista / Oficina médica to join our healthcare team. In this vital role, you will serve as the frontline representative of our medical office, ensuring smooth administrative operations and exceptional patient service. Your energetic approach and strong organizational skills will help create a welcoming environment for patients and support the clinical staff effectively. This position offers an exciting opportunity to be part of a dedicated healthcare team committed to delivering quality care and efficient office management.

Responsibilities

Manage patient intake, appointment scheduling, and medical office flow using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix.
Verify insurance coverage, perform insurance eligibility checks, and conduct insurance verifications to facilitate accurate billing processes.
Handle medical billing and coding tasks, including CPT (Current Procedural Terminology), ICD-9, ICD-10 coding, ensuring compliance with HIPAA regulations and health information management standards.
Maintain accurate medical records by reviewing documentation, filing patient files, and managing electronic health records (EHR) with systems like Meditech or Eaglesoft.
Provide exceptional patient service at the front desk by answering multi-line phone systems with professionalism, practicing proper phone etiquette, and managing appointment scheduling efficiently.
Support clinical staff by preparing care plans, reviewing documentation for accuracy, and assisting with administrative support tasks such as filing and data entry using Microsoft Office tools.
Uphold confidentiality policies related to clinical information and ensure compliance with HIPAA and other healthcare regulations.

Qualifications

Proven experience in a medical office environment or clinic setting with familiarity in medical administrative support and office management.
Strong knowledge of medical terminology, health insurance procedures, and health information management practices.
Proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Eaglesoft or Dentrix; experience with dental terminology is a plus.
Excellent computer skills including Microsoft Office Suite (Word, Excel) along with typing skills (10 key typing preferred).
Bilingual abilities are highly desirable to serve diverse patient populations effectively.
Demonstrated ability to handle multi-tasking responsibilities such as appointment scheduling, insurance verification, and patient communication while maintaining attention to detail.
Knowledge of clinical confidentiality policies and experience working within HIPAA guidelines is essential.
Prior clinic or hospital experience involving patient service, medical billing or coding is preferred.
