Work Locations: Arlington, Burlington, Bellingham, or Lynnwood, WA
Employment Type: Full-Time
Work Arrangement: In-Person
Compensation: $80,000–$105,000 annually, depending on experience, plus performance-based bonus opportunities

This position may be based out of our Arlington, Burlington, Bellingham, or Lynnwood location and supports office and administrative functions across all SERVPRO Team Leavens locations. Periodic travel between locations is required.

Position Summary

SERVPRO Team Leavens is seeking an experienced Business Services Manager to lead and strengthen the administrative functions of our multi-location organization.

This role oversees the teams, systems, and processes that keep our offices running effectively, including job file administration, dispatch and customer communication, billing workflows, compliance, reporting, and office performance metrics.

The ideal candidate is an experienced office leader who knows how to develop people, create consistent processes, manage competing priorities, and use data to improve performance across multiple locations.

What You'll Do:

Lead & Develop Office Teams

Manage, coach, and develop Job File Coordinators, Dispatchers, and other administrative support staff.
Establish clear expectations and provide ongoing coaching, feedback, and accountability.
Coordinate training, onboarding, cross-training, and development of office staff.
Support staffing, workload allocation, and administrative coverage across locations.
Foster a professional, collaborative, and customer-focused office culture.

Manage Administrative Workflows

Oversee job file progression, dispatch, documentation, customer communication, and billing readiness.
Establish consistent office procedures and administrative standards across locations.
Monitor workloads, deadlines, and workflow queues to identify and resolve bottlenecks.
Strengthen communication between office, Production, Reconstruction, Accounting, HR, and leadership.
Identify opportunities to improve efficiency, accuracy, and consistency across office functions.

Monitor Performance & Financial Workflows

Track office KPIs related to job progression, lead disposition, customer service, billing, collections, and compliance.
Monitor billing and Accounts Receivable workflows and partner with Accounting to address delays or outstanding accounts.
Review reports and performance trends to identify areas needing additional support or improvement.
Support office planning, budgeting, and performance goals.
Provide leadership with reporting and recommendations based on office performance.

Oversee Compliance & Customer Service

Monitor SERVPRO, National Accounts, and other program requirements to ensure documentation and performance standards are met.
Oversee administrative compliance related to audits, job documentation, required uploads, and reporting.
Ensure incoming calls, leads, and customer communications are handled professionally and promptly.
Help resolve escalated administrative or customer service concerns.
Communicate changing requirements and ensure office processes remain consistent with company standards.

Qualifications

Required

3+ years of leadership or management experience in office administration, business services, customer service, or a related environment.
Experience directly supervising and developing office-based employees.
Demonstrated experience managing administrative workflows, processes, and performance expectations.
Experience using reports, dashboards, or KPIs to monitor performance.
Strong organizational, analytical, problem-solving, and communication skills.
Ability to manage competing priorities and coordinate work across multiple teams.

Preferred

Experience managing office functions across multiple locations.
Experience in restoration, construction, insurance, property services, or another service-based industry.
Working knowledge of billing, Accounts Receivable, Accounts Payable, collections, and financial reporting.
Experience with compliance-driven programs, audits, or documentation requirements.
Familiarity with SERVPRO systems, National Accounts, or QuickBooks is a plus.

Success means job files move efficiently, customers receive timely communication, billing and collections stay on track, compliance requirements are met, and leadership has clear visibility into office performance.
