Overview

We are seeking a dynamic and detail-oriented Event Planner/Coordinator to orchestrate a wide range of events, ensuring seamless execution from conception to completion. The ideal candidate will possess a passion for event management, exceptional organizational skills, and a proactive approach to client service. This role offers an exciting opportunity to lead diverse events, collaborate with vendors and clients, and deliver memorable experiences that exceed expectations. The successful applicant will demonstrate proficiency in managing budgets, negotiating contracts, and utilizing event management software to streamline planning processes. Willingboro resident preferred.

Responsibilities

Develop comprehensive event plans that align with client objectives, including venue selection, catering arrangements, entertainment, and logistics.
Manage event budgets meticulously, ensuring cost-effectiveness while maintaining high standards of quality and service.
Negotiate contracts with vendors, venues, caterers, and suppliers to secure favorable terms and build strong professional relationships.
Coordinate all aspects of event marketing and promotion to maximize attendance and visibility through various channels.
Oversee the setup, execution, and breakdown of events, ensuring all elements adhere to safety standards and client specifications.
Utilize event management software and CRM systems to track planning progress, manage client communications, and maintain detailed records.
Lead and supervise event staff and vendors on-site to ensure smooth operations and exceptional guest experiences.
Provide excellent customer service by addressing client inquiries promptly and resolving any issues efficiently during events.
Collaborate with marketing team to develop promotional materials and strategies that enhance event visibility.
Ensure compliance with all contractual agreements, health regulations, and cannabis regulations throughout the planning process.

Experience

Proven experience in event planning or coordination within the cannabis, hospitality or related industries
Strong background in managing event budgets, contracts, catering arrangements, and banquet services.
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) as well as specialized event management software tools.
Excellent negotiation skills
Familiarity with CRM systems for client communication management and relationship building.
Experience in cannabis or hospitality environments. .
Strong project management skills with the ability to multitask effectively under tight deadlines while maintaining attention to detail.
Exceptional communication skills for engaging with customers, vendors, team members, and guests professionally.
Willingboro resident preferred.
