Job Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This role is essential in creating a welcoming environment for visitors and clients while providing vital administrative support to ensure smooth daily operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact, manage front desk duties, and support various office functions with enthusiasm and professionalism. Responsibilities

Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring a positive first impression
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and timeliness
Maintain organized filing systems, both physical and electronic, ensuring easy retrieval of documents
Perform data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Assist with scheduling appointments, meetings, and conference room bookings to optimize office workflow
Support office management tasks including inventory management of supplies, maintaining cleanliness, and ensuring operational readiness

Qualifications

Proven clerical experience or office management background demonstrating strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Excellent computer literacy with the ability to quickly adapt to new software or technical tools such as QuickBooks or other productivity software
Strong customer service skills with the ability to communicate effectively via phone and in person
Demonstrated experience in front desk responsibilities and phone communication etiquette
Exceptional organizational skills with keen attention to detail for proofreading documents and managing multiple tasks efficiently
