Full Job Description

Step Up Suncoast's Rise and Shine Early Learning division is hiring Administrative Assistants to facilitate the efficient operation of the assigned Rise and Shine Early Learning site or center by performing various clerical and administrative tasks.

This position is hourly, full-time, full-year, and non-exempt. The hourly rate is $18.00 with full benefits.

Step Up Suncoast offers a generous benefits package.

Health Insurance - The company pays $575 toward premiums. There are three (3) Florida Blue plans to choose from.
Group Term Life Insurance - We provide life insurance equal to 1.5 times your salary at no cost.

Other benefits:

403b plan - After one year of service, Step Up Suncoast contributes 8% of your gross wages to a retirement account. Employee deferrals are not required to be eligible for the 8% company contribution. Employee deferrals can start immediately upon hire. Employees can designate all or part of their elective deferrals as Roth contributions (which are included in gross income) rather than traditional, pre-tax elective contributions
Vacation - begins to accrue immediately upon hire at approximately 8 hours per month. Time accrued increases with the number of years of service.
Sick time - begins to accrue immediately upon hire at approximately 8 hours per month.
Personal time - two days per year
Holidays -19 paid holidays per year – New Year’s Day, MLK, Jr. Day, Presidents Day, Good Friday, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus Day, Veterans Day, 3 days at Thanksgiving, Christmas Eve, Christmas day and 4 additional days during the Christmas holiday.

Essential Functions: (Duties and Responsibilities)

Facilitates the office management of the assigned site by making appointments, answering inquiries, receiving incoming calls and callers, referring to the proper personnel, and taking messages.
Works in conjunction with the Early Childhood Specialist for effective communication and site management.
Will provide data entry support to the data entry team and others at their site.
Welcomes all visitors, ensures sign-in, directs them, when applicable, to the appropriate destination.
Attends all required training as requested, including in-service and pre-service.
Opens and distributes mail in a timely manner.
Orders and distributes office supplies for the site and maintains inventory.
Maintains confidential files, including correspondence, memoranda, reports, and other pertinent information as requested.
Types correspondence, reports, and other written material for appropriate staff (managers, specialists, advocates, director, and administrative assistant).
Copies materials for staff and organizes information for booklets, pamphlets, brochures, etc., for distribution to staff members and parents.
Composes and types routine correspondence.
Assists in gaining in-kind contributions in accordance with Head Start policies and procedures.
Assists in Community Development/Awareness activities when needed.
Keeps official records and executes administration policies determined by or in conjunction with the Head Start Director’s Administrative Assistant and Head Start/Early Head Start Director.
Other related duties as assigned.

Education and Experience Requirements

A high school diploma with two years of clerical work experience and/or two years of office management experience.

Specific Knowledge, Skills, and Abilities Required

Excellent oral and written communication and organizational skills.
Basic understanding of office equipment.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Must be familiar working in a Microsoft Windows environment.
Proficient with Microsoft Office Suite.
Be able to learn and use the Agency software within three months of hire.
Ability to enter data accurately.
Must be able to work with minimum direct supervision.
Ability to work independently and reliably.
Function cooperatively as a member of a team.
Flexible and adaptable in various situations and when interacting with many different personalities.
Ability to work with diverse ethnic groups and cultures.
Ability to organize and prioritize tasks including delegation of tasks when appropriate.
Must demonstrate sensitivity to the needs of low-income people.
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers and clients and the general public.
Ability to add, subtract, multiply, and divide.
Ability to interpret a variety of instructions furnished in written, oral, and or diagram form.

Licenses/Certificates/Screenings

Must have a valid Florida Driver’s License.
Must have reliable transportation for work related travel.
Must be insurable under SUS’s organizational policies.
Pre-employment drug screening required.
Must pass a Level II criminal background check.
Must agree to ongoing random drug/alcohol screening.
