Job Title: Finance & Compliance Manager

Department: Administrative

Reports To: President & Chief Executive Officer

Job Type: Full-time/Exempt; In-Person/Hybrid

SUMMARY

The Finance & Compliance Manager oversees the organization's daily financial, administrative, and team support functions by ensuring operational excellence, financial accuracy, compliance, technology, and exceptional internal support across Communities In Schools of Appalachian Highlands.

SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE FINANCE & COMPLIANCE MANAGER

The Finance & Compliance Manager is responsible for ensuring the efficient daily financial and operational functions of Communities In Schools of Appalachian Highlands. This position serves as the organization's primary coordinator for financial administration, payroll, accounts payable, employee onboarding support, team support operations, technology compliance and support, and other daily organizational systems.

Working collaboratively with the President & CEO and the Director of Team Support, the Finance & Compliance Manager provides exceptional internal support by maintaining accurate financial records, supporting compliance, strengthening organizational systems and technology, and ensuring team members' needs are met.

DUTIES AND RESPONSIBILITIES OF THE FINANCE & COMPLIANCE MANAGER

Reporting to and directed by the President & Chief Executive Officer, and working closely with the Director of Team Support, the Finance & Compliance Manager will:

Financial Operations

Manage accounts payable and vendor payments.
Utilize QuickBooks Online to manage and monitor expenses and income.
Maintain cash flow reports and monitor bank balances.
Reconcile financial transactions and accounting records.
Prepare monthly financial reports.
Monitor grant expenditures and budget performance.
Code expenses accurately by funder, department, and project.
Support annual budgeting and forecasting.
Coordinate employee expense reimbursements.
Maintain insurance policies.
Support annual audit preparation.

Payroll & Benefits Administration

Coordinate payroll processing and updates.
Administer employee benefits and open enrollment.
Maintain payroll records and tax documentation.
Serve as liaison with payroll and benefits vendors.

Human Resources & Team Support

Coordinate onboarding and offboarding.
Maintain confidential personnel files.
Manage user accounts and system access.
Track required training and compliance documentation.
Support employee recognition and engagement.
Maintain HR forms, policies, and handbook updates.
Assist with recruitment and hiring administration.

Operations & Administrative Management

Maintain organizational administrative systems.
Coordinate office supplies, equipment, and vendors.
Improve workflows and operational processes.
Maintain contracts and operational documentation.
Support leadership and board meeting logistics.
Manage document management systems.
Coordinate facility and office operations.

Technology Compliance & Support

Manage employee technology accounts and system access.
Coordinate technology equipment, software, and vendor support.
Assist with technology setup for new team members and equipment return for departing employees.
Maintain technology inventory and organizational records.

Organizational Support

Prepare financial and operational reports for the President & CEO.
Coordinate administrative priorities and special projects.
Support the Director of Team Support with HR administration and employee support.

ADDITIONAL DUTIES ASSIGNED TO ALL EMPLOYEES

Fund Development

Assist with fund development. Activities may include, but are not limited to:

o Participate in donor cultivation and solicitation activities in support of donor development, including by phone, email, or mail.

o Support fundraising events by attending, assisting as required, and positively representing the organization.

Program Support

Represent the organization positively in public at all times by acting as a professional

representative and ambassador.

Support the organization's mission and goals across all programs and departments.

Administration

Maintain accountability for administrative systems and procedures, including submitting expense reimbursements, invoices, and reports by the assigned deadlines.
Submit content as requested for use in a variety of media outlets and grant applications.
Participate actively in staff meetings and Board meetings when requested.

Professional Development

Attend CIS-AH meetings and trainings as appropriate.
Find other low-cost opportunities for professional development and training.

The ability to develop and maintain positive relationships with a wide range of stakeholders, including the media, government officials, and community leaders.
Experience in developing and executing public relations, marketing, and communication initiatives.

EDUCATION and/or EXPERIENCE

Bachelor's degree in a related field and/or demonstrated relevant experience required; master's degree preferred. Must have a valid driver's license and automobile insurance.

SALARY and BENEFITS

Starting at $50,000 annually - commensurate with experience and education.
